What we do

The Women’s Housing Company (WHC) Limited is a registered charity and Tier 1 Community Housing Provider managing over 1200 properties providing housing, accommodation and support services for women and children across Sydney, the Hunter and Coffs Harbour.

At WHC we provide housing and homelessness services to single women and women with children in NSW.

Last year, we housed almost 1,700 women and children, as well as supported over 300 homeless women. We have a particular focus on addressing the housing needs of older women, women with children, and women who have experienced domestic and family violence.

Award Level: 4.3 ($91,040.50 plus super, plus salary packaging)

Role Purpose

This will include purchasing office supplies, goods and services, and supporting CFO and GMs with administrative tasks, diary management, corporate event management and ad hoc requirements of a general nature. The Administration Manager serves as a key point of contact for internal teams and external vendors.

Key Accountabilities

Facilities Management - Manage the efficient operation of the WHC by assisting with the maintenance of office facilities, supplies and equipment.

  • Liaise with staff and suppliers to keep equipment, facilities and supplies fulfilled (e.g. placing and receiving orders for toners, stationery and kitchen supplies)
  • Managing vendors on the above with account management, requirements, deliveries and payments.
  • Manage day to day liaison with the Surry Hills Building Manager to report all office and facilities issues.
  • Manage all office communication to notify all staff of facilities, fleet or technology issues.

Staff on and off boarding - Microsoft Support - Provide basic desk top support for Microsoft Office including Outlook and Teams, enabling login access in collaboration with the Microsoft Services Provider to ensure the effective use and availability of WHC’s Microsoft Office Applications for new and existing users.

  • Manage approved new staff logins to relevant systems
  • Administer onboarding of approved new staff. in collaboration with Hiring Manager, manages set up of desk spaces and associated equipment for new staff including system access, login and sim cards.
  • Assist with the offboarding of exiting staff
  • Maintain IT records/registers for corporate resources (e.g. laptops, phones)

Support WHC staff with the provision of IT&T equipment and providing support for the company’s intranet and internet sites.

  • Assist the teams with logging, documenting and resolving business system issues and act as the first line of support for IT/device issues generally
  • Manage the Printers and Letter Folding Machines
  • Assist with the procurement of IT resources such as computer equipment, phones, iPads etc
  • Manage the handback of IT equipment for departing staff
  • Coordinate the disposal of surplus or redundant equipment with Finance

General WHC Administration

  • Receipt, triage and distribution of office mail
  • Co-ordinate couriers as required
  • Assist staff with the organisation of office bookings and meetings
  • Assist with the management of the office main phone line, including light reception duties and answering phones
  • Assist with staff engagement and social activities
  • Assist the Executive Officer with the organisation of Corporate Events such as the Annual General Meeting, All Staff Meetings and Strategy Days
  • Provide administrative support for tenant communications/mail
  • Assist with other projects as required, such as digitisation of printed corporate records

Executive Support

  • Support the CFO and General Managers with diary and travel arrangements
  • Review credit card reconciliations for Executives to ensure completeness
  • Provide copying, scanning and filing support
  • Provide the Executive Officer with administration support as required, including digital content required for the intranet, website and social media

Fleet Management

  • Manage the fleet asset register
  • Arrange fleet vehicle registration & insurance
  • Arrange fleet vehicle servicing

Qualifications, Experience, Knowledge

  • At least 5 years’ experience in an administration role
  • Intermediate MS Word skills, strong working knowledge of other MS Office products
  • Cert III (or higher) in Office Administration
  • Mandatory National Police Check and WWC check.
  • Driver’s license (preferred)
