This is an exciting opportunity for the right person to work closely with the State and Territory Peak volunteering organisations and Volunteering Australia.
BACKGROUND
From 1 July 2021, the Australian Government created a new program: Volunteer Management Activity (VMA), through the state and territory volunteering peak bodies (VPBs). This Activity aims to implement strategies that will:
- Deliver online services to build the capacity of Volunteer Involving organisations (VIOs) within State and Territory jurisdictions and;
- Break down barriers to volunteering faced by identified priority groups, including, People with Disabilities, First Nations People, and Newly Arrived Migrants.

The Mission and public value proposition of the Volunteer Management Activity: Promote and support organisational excellence in volunteer leadership for the prosperity of communities and people in all parts of Australia, by:

- Boosting participation in volunteering;
- Improving the culture of Volunteer Involving Organisations (VIOs) to better include a broader cross-section of society;
- Supporting healthy and thriving communities;
- Ensuring volunteering is understood and recognised;
- Acknowledging the true value of volunteering;
- Building positive volunteering experiences.
The State and Territory Volunteering Peak bodies established the VMA Council to oversee nationally consistent decision making. A VMA Coordination Group made up of staff from each VPB has been formed to drive national projects as directed by the VMA Council and to ensure national consistency of online VIO capacity building.
POSITION
The purpose of this role is to provide secretariat support for the VMA Council and Coordination Group. This is a senior position which requires a proactive approach to:
- the provision of secretariat support to the VMA Council
- acting as secretariat support for the VMA Coordination Group
delivering timely reporting on activities and expenditure for projects delegated by the VMA Council.
ROLES AND RESPONSIBILITIES
- Organisation of VMAC and National Coordination Group workshops and meetings including preparation, coordination and dissemination of proposals and papers and preparing minutes.
- Develop and maintain the Coordination Group annual work plan.
- Administration of procurement processes relating to national projects including drafting internal and external procurement briefs, contracts and other related documentation.
- Maintenance of VMAC and National Coordination Group registers including register of members, VMA Roadmap and other consolidated documentation.
- Tracking of expenditure across national projects.
- Maintenance and updating of content on the VMAC Teams site.
- Undertake the coordination and completion of National VMA reports in line with funding requirement.
- Other duties to support VMA National Work as requested by VMAC.
ESSENTIAL SKILLS AND EXPERIENCE
Qualifications:
- A qualification in project management or administration
Competencies:
- A commitment to quality
- Experience or knowledge of project management
- Project Management expertise, with strong administration, organisational and time management skills
- Strong communicator with excellent interpersonal skills
- High level negotiation skills including the ability to be proactive, effectively articulate a business case and communicate tasks and projects
- Highly efficient at IT platforms, especially Microsoft Teams
Additional:
- Not-for-profit experience
- Previous experience working with boards or similar (contract management or government procurement experience will be highly regarded)
- Willingness to travel interstate and be flexible as work requires occasional out of hours commitment.
- The successful candidate may be required to undergo a Police Check and Working with Children Check.
CONDITIONS
The position will be part time until June 2024 (and paid at 0.4 FTE of Social and Community Service Employee Level 5.1 ($44.92 per hour + super). Laptop will be provided.
The Secretariat will report to the CEO of the volunteering peak body in which the successful candidate is located.
