About Us

The VAU is a newly formed not-for profit industrial association formed to represent persons employed in the Ambulance Industry within Victoria. The VAU currently represent over 4,700 members working across the both the emergency and non-emergency ambulance patient transport industries and provide industrial and legal advice to its members in all matters relating to their employment. The VAU also advocates for issues affecting the Ambulance Industry within Victoria before Government and is a key industry stakeholder in respect of all matters relevant to Ambulance.

Key duties & responsibilities

As the Administrative & Membership Officer you will be required to have carriage of all general administrative duties in the VAU office as well as manage the Membership specific queries and issues of members of the VAU.

Key duties/functions required to be undertaken include:

  • General administrative duties including, reception/switchboard duties, word processing, preparation and recording of outgoing mail, photocopying and distribution of newsletters, managing diaries of officers and responding to administrative requests for assistance, making travel and accommodation bookings as required, ordering/maintaining office supplies including stationary, kitchenette requirements, organising and arranging services and facilities relating to events held by the VAU including training, state council meetings.
  • Membership specific duties including:
    • data entry into 360 membership system including preparing and processing resignations, processing credit card payments and direct debit payments, including reconciling this against VAU records;
    • dealing with membership enquiries about membership with VAU including member benefits, amending member payment details, chasing up unpaid member fees;
    • receive and re-direct calls from members about membership/industrial issues;
    • triage email queries from the membership

Qualifying Criteria

The successful candidate will be a vibrant, agile and proactive individual who has a strong desire to collaborate and support our team.

As a great communicator, you will demonstrate superior customer service and high attention to detail, capable of organising and prioritising your responsibilities through demonstrating excellent time-management skills, ability to work flexibly and to tight deadlines and managing multiple tasks simultaneously. You will have a positive attitude and be self-motivated, able to interact effectively with a number of different internal and external stakeholders, understanding the value of the strong relationship you will have with the entire Diversified team.

In addition, the successful candidate will have:

  • a minimum of 5 years’ experience working in a fast-paced, dynamic and busy office/corporate environment (for example, a legal environment);
  • have extensive all-round administrative and book-keeping experience;
  • be proficient in all Office programs including word, excel, powerpoint and outlook;
  • familiar with membership/client-based database systems (e.g CRM systems/software).

Remuneration

Renumeration package includes:

  • annual salary of $68,000 per year plus 12% superannuation;
  • 6 weeks of annual leave plus 25% annual leave loading;
  • 12 rostered days off per year.
