About this position:

The Victorian Alcohol and Drug Association (VAADA) is a non-government peak organisation for Victorian alcohol and other drug (AOD) services. VAADA aims to support and promote strategies that prevent and reduce the harms associated with AOD use across the Victorian community.

VAADA is recruiting a Project Officer and Administration Officer to support VAADA’s initiatives to build the capacity of AOD services in Victoria to respond to emerging needs. It achieves this by meeting the objectives of the Federal Drug and Alcohol Program. This role has a broad scope providing administrative support to key VAADA project activity to ensure the continued commitment to building safe and healthy communities by reducing the impact of AOD misuse to individuals, families and communities.

Working directly to the Executive Officer, but in close consultation with other VAADA staff, this role focuses on and undertakes:

  • Program and Project Support (supports VAADA project staff to meet project goals and objectives)
  • AOD sector support (provides information and resources; coordinates events, meetings and forums)
  • Internal systems and governance (Helps maintain VAADA’s internal operations and administrative activities ensuring the quality of VAADA’s work).

VAADA works in a dynamic environment and responds to new and emerging issues which will require you to be flexible and undertake other tasks as requested/required.

Our ideal applicant will have experience in administration and project support including providing secretariat support to boards and committees. You will be highly organised and have experience in planning and managing events, meetings and forums. Combined with excellent oral and written communication skills you will be proficient at using online platforms to communicate and have advanced skills in MS Office. Experience in the AOD sector, or other health or community services sector is an advantage. 

Key Selection Criteria

Essential:

  • Relevant tertiary qualifications and/or professional experience
  • Excellent oral and written communication skills
  • Experience in the provision of secretariat support for Boards and committees
  • Experience in liaising effectively with a range of individuals and organisations and ability to represent VAADA in a range of settings
  • Demonstrated experience in administration and project support
  • Demonstrated experience in planning and managing events, meetings, forums and consultations
  • Experience with IT with good troubleshooting skills; intermediate - advanced use of Microsoft Office suite (Word, Excel, Outlook and PowerPoint); experience in managing WordPress CMS, EDM platforms, social media (Facebook, Twitter and LinkedIn), and online survey platforms; experience with electronic meeting platforms such as Zoom and Microsoft Teams
  • Ability to work both independently and collaboratively within a small team environment

Desirable:

  • Experience in the AOD sector, or other relevant health or community service sector
  • Experience with quality management systems, audits and continuous improvement activities
  • Willingness and ability to travel within Victoria
  • Hold a current driver’s license
  • Marketing skills
  • Multimedia skills

Salary: Salary and conditions of service will be in accordance with the contractual arrangements and package determined by the Board of Management. Salary in the range of $60,000 - $67,000 per annum (plus super and salary packaging options).
