Role Overview
We are seeking a client-focused Client Contracts Officer to join our Client Administration Team at Uniting. In this role, you will be responsible for the timely negotiation and issue of Permanent Residential Care Residency Agreements and ongoing financial and contractual support for residents in Aged Care. You will ensure compliance with all legislative requirements while delivering high-quality service to clients and their representatives.
Key Responsibilities:
- Contribute to the overall efficiency and effectiveness of the Client Administration Team and its client-facing functions, specifically for Residential Aged Care services.
- Liaise with Residential Aged Care Services to ensure prompt and accurate processing of bed offer acceptances, enabling the early issue of Residency Agreements.
- Conduct checks to confirm valid Care Assessments and ensure all necessary documentation is provided by the client or their authorised representative, including agreement on a preferred method of payment, ideally via direct debit.
- Prepare and issue Residential Permanent Residency Agreements prior to or as soon as possible after a client’s date of entry, including all necessary negotiations with clients or their representatives.
- Manage the transfer of lump sum payments between services in accordance with legislative and contractual requirements and timeframes.
- Monitor Daily Movement Sheets to track permanent admissions and ensure all Bed Moves comply with security of tenure and pricing provisions.
- Support data entry of admissions into the Finance System, including the setup of Accommodation Fees and supplements, as well as processing changes to accommodation payment arrangements.
- Respond to client and prospective client enquiries, particularly those related to accommodation payments and means assessments.
- Follow up on outstanding documentation such as Means Assessments, return of contracts, Option Sheets, and Fee Confirmation Letters.
- Liaise with clients, Services Australia and other Finance Team members regarding Means Tested and Daily Accommodation Contribution letters, and follow up on unpaid lump sums.
- Work closely with other Finance Transaction Team members to process necessary adjustments and resolve issues related to client fees, bonds, supplements or account setup.
- Maintain accurate client records by recording notes and attaching relevant documents within the Finance System.
- Generate Residency Agreements, arrange their execution, and ensure timely return of executed copies to clients.
- Ensure Residential Services provide complete and up-to-date pre-admission, admission and disclosure documentation.
- Perform all duties in compliance with relevant legislation, contractual obligations, and within designated timeframes.
- Support effective database management through housekeeping activities in the Finance System.
Qualifications and Experience:
- Higher School Certificate or equivalent clerical/administrative work experience.
- Experience in administrative roles within the health or aged care sector.
- Strong written and verbal communication skills.
- Data entry accuracy and familiarity with systems such as AX/PeoplePoint.
- Excellent customer service skills, particularly in working with older people and their families.
- High attention to detail and strong record-keeping skills.
- Working knowledge of Medicare subsidy processes and aged care regulatory requirements.
