About the opportunity:

As the Administration/Reception Officer in Coffs Harbour, you’ll be the first point of contact for clients and visitors, providing a welcoming and supportive environment. You’ll work alongside our dedicated Communities Team to ensure the smooth delivery of services and clinical programs. Your responsibilities will include:

  • Managing reception and greeting families, young people, and visitors.
  • Assisting the intake worker by allocating appointments and ensuring clients are directed to the appropriate services.
  • Handling general administrative tasks such as minute taking, timesheet coordination, preparing reports, data entry, and more.
  • Providing administrative support for finance processes including accounts payable/receivable.
  • Participating in shared administrative duties such as fleet management, property management, and event coordination.
  • Assisting field staff with troubleshooting, data entry, and general administrative support.
  • Managing corporate card reconciliations and supporting financial transactions.

Your Qualifications & Experience

  • Certificate III in Business Administration or equivalent.
  • At least 2 years of experience in an office environment.
  • Strong skills in time management, communication, and organisation.
  • Demonstrated ability to manage competing priorities and work under minimal supervision.
  • Experience in accounts payable/receivable and general finance administration.
  • Competency in using Microsoft Office applications as well as word processing, data entry and travel/meeting/event management.
  • A compassionate and understanding approach, particularly when working with vulnerable clients.
  • Current NSW WWCC and current driver’s licence.
