Job Description

We are offering a full time, fixed-term contract (approx. 3 months, mid-July to mid-October 2026), working in a flexible environment, built around the diversity of our team and their needs. This role will support delivery of the Australia Pacific Youth Climate Dialogue (APYCD) in Fiji, a high-impact initiative engaging young people across the region.

What we are looking for

We are looking for a highly organised and proactive Project Administrator to provide travel coordination and project support for a fast-paced, purpose-led project. You will play a key role in ensuring young people and staff are supported to safely participate in the Dialogue, while keeping project activities on track.

Your day will include

  • Coordinating travel and logistics for 25–30 young people and UNICEF Australia staff (flights, accommodation, transport, itineraries)
  • Managing travel documentation (passports, visas, insurance, consent) in line with safeguarding and UNICEF’s policy requirements
  • Acting as a key contact for travel queries and supporting participants before and during travel
  • Supporting project leads with documentation, reporting, and administrative tasks
  • Preparing and maintaining forms (e.g. registration, consent, travel documentation)
  • Tracking project milestones, actions, and deadlines, and following up to keep delivery on track
  • Coordinating meetings, preparing agendas, and capturing notes and actions
  • Maintaining organised and secure project records and participant information

We would like you to have the following skills and experience

  • At least 2 years’ experience in project administration, coordination, or similar roles
  • Experience coordinating travel and logistics for groups, ideally including young people or large delegations
  • Strong organisational and time management skills, with the ability to prioritise and meet deadlines
  • Confidence using Microsoft Office (Word, Excel, Outlook, Teams); experience with SharePoint or project tools is advantageous
  • Excellent communication skills, with a professional and diplomatic approach
  • A strong commitment to child safeguarding, confidentiality, and handling sensitive information
  • Availability to commit to a full-time contract from mid-July to mid-October 2026
