About the Role

Tradeswomen Australia is seeking a Grants & Executive Administrator. This newly created role provides essential administrative and coordination support to the CEO and wider team, with a dual focus on executive support and grants management. The role will help ensure Tradeswomen Australia can efficiently pursue partnership opportunities, maintain high-quality relationships with funders, and operate effectively at the executive level.

You will be a key team member in a small, high-performing organisation making real impact on gender equity in Australia’s trades sector.

Key Responsibilities

Grants Administration:

  • Coordinate the end-to-end administration of grants – tracking deadlines, preparing documentation, and supporting submission and acquittal processes
  • Maintain the grant pipeline, records, reporting schedules, and CRM system (Monday.com)
  • Support grant acquittals and reporting including sourcing project data, supporting data analysis, and formatting documentation
  • Identify new funding opportunities aligned to TWA strategy and eligibility

Executive & Operations Support:

  • Provide proactive administrative support to the CEO, including diary management, meeting logistics, preparation of board papers, briefing notes, presentations, and minutes
  • Maintain records and coordinate team-wide compliance and reporting activities (e.g. annual reports, insurance, contracts, policies)
  • Support internal communication and collaboration across teams and partners
  • Contribute to a high-performing, inclusive team and support the delivery of TWA’s strategic goals.

Key Selection Criteria

We’re looking for someone who can demonstrate:

  • Demonstrated experience providing high-level administrative support in a not-for-profit, philanthropic, or small team environment
  • Strong understanding of grants administration, reporting, and acquittal processes
  • Excellent written communication skills and attention to detail
  • High-level organisational skills and the ability to manage multiple competing priorities and deadlines
  • Ability to maintain clear records and document version control across multiple systems
  • Proficient in using office and productivity systems, including:
    • Microsoft Office suite (Word, Excel, Outlook, PowerPoint)
    • Cloud-based file management (OneDrive, SharePoint)
    • CRM and grant management platforms
    • Digital collaboration and project management tools (Monday.com)
  • Experience with basic financial administration including processing invoices, expense reconciliation, and managing receipts (Xero)
  • Strong interpersonal and stakeholder engagement skills
  • Demonstrated ability to exercise discretion and confidentiality when handling sensitive information, such as board papers, contracts, or funding data
  • A collaborative and flexible approach - comfortable collaborating with the team and also taking initiative.

Desirable

  • Certification in Grants Management, Administration, Project Management, Executive Assistance, Microsoft Office, Monday.com or similar
  • An interest, professional experience or lived experience in the trades sector
  • Current Working with Children and Police Check (or willingness to obtain)

Additional Information

  • The position requires travel across Victoria from time to time.
