The Hunger Project is a global, non-religious, non-profit organisation working to sustainably end world hunger. We partner with communities over the long-term. Food alone will not solve hunger. We address the overarching factors that cause hunger and poverty – including gender inequality, climate change and conflict to ensure our success. There’s enough food for everyone on this planet; we just need to give everyone a chance to sit at the table.
THE ROLE AND RESPONSIBILITIES
This a diverse administration role working directly with the CEO and collaborating with the Senior Leadership Team (SLT) and the Company Secretary. You play a pivotal role in enabling a sustainably end to world hunger. You will support the CEO and coordinate the general administration of our small and passionate team ensuring it runs smoothly.
Key Accountabilities:
CEO Support:
- Manage diary, coordinate meetings and assist with stakeholder engagement
- Manage domestic and international travel, including coordinating in-country and visa requirements
- Document all stakeholder engagement and correspondence including meetings, calls, emails and other activities in the organisation’s CRM system
- Other activities as reasonably requested
Company secretary support:
Work with the Company Secretary to support the National Board including:
- The preparation of board papers, including developing timelines, managing action items, liaising with the Company Secretary about progress and meeting coordination.
- Organising Board Meetings and AGM and providing support for other key dates when needed
HR Support:
Support the HR consultant in the coordination of human resources, including:
- Coordinating team meetings and strategic planning and team engagement sessions
- Support the HR consultant with the recruitment of new staff
- Support the HR consultant in scheduling onboarding all new staff members and volunteers
General Administration & Office Management:
Manage the operation of the office and supporting staff when they are working from home, including:
- Manage all office and mail services ensuring a smooth effective workplace, including managing the general organisation email inboxes, the office calendar, the office phone and accounts
- Purchase new office equipment
- First aid safety officer and fire warden to ensure office is safe and staff are trained on procedures
- Responsible for liaising with the building management and communicating vital information back to staff
- Day -to -day business administration
IT Management:
Manage all IT requirements and online systems, including:
- Raiser’s Edge: Ensure data has integrity and to develop and refine processes on RE
- SharePoint and Box: Coordinating file transfer from SharePoint to Box, with team members. Maintenance of files so they are tidy and easy to navigate
- Managing the IT Contractors to source hardware and maintain it
- Liaise with IT suppliers and software providers to resolve any IT or network issues
Team Support:
- Support all teams with general duties and assistance, especially during busy campaigns
- Support the Finance Team with Raiser’s Edge reporting and data input
- Ensure compliance register is maintained and assist team in updating policies and procedures when necessary
- Ensure appropriate insurance is in place for workers compensation and travel
- Plan staff events/ team off sites
The Person:
Background & Experience:
- You are pro-active, able to work independently and as part of team and with an eye for detail and can work with all our stakeholders
- You are highly organised and have project management experience
- Excellent communication, people management and stakeholder engagement skills
- Experience working with customer and/or fundraising databases, ideally Raisers Edge
- Experience with Microsoft Office suite
