Role Purpose
The Compassionate Friends (TCF) NSW is a not-for-profit organisation that is dedicated to providing peer support to bereaved parents, siblings and grandparents after the tragic loss of a child. We are a registered charity and coordinate approximately 30 Chapters throughout the Sydney metropolitan area and regional NSW.
The Administration Officer contributes to the effective functioning of TCF by supporting its ability to serve bereaved families through the effective oversight of all office activities.
Accountabilities and Main Duties
General office (Some of these supported by Volunteers)
- Maintenance of the filing systems
- Telephone answering
- Mail pick up, sorting and logging, outgoing mail logging and sending
- Meet and greet visitors & bereaved parents
- Email maintenance - answering, flagging and following up for action, filing etc
- Directing the workflow through volunteers
- Quarterly office working calendar
- Volunteer calendar & roster
- Maintaining, updating brochures and pamphlets
- Keeping office tidy and noticeboards up to date
- Stationary and office supplies + catering supplies
- Development of new documents
- Liaison with King York facilities management
Membership
- New member set up and maintaining back end web system
- Updating and maintaining the member database (Access database)
- Annual membership renewals
Board Matters and Reporting Requirements
- Preparing the correspondence for monthly Board Meetings Preparation of Admin report for the Board General liaison with Board Members
- Quarterly reporting from Chapters and telephone support for KPI funding report
- Quarterly Reconciliation of volunteer hours, telephone calls in/out
General Duties
- Preparation of monthly anniversary card list and on forwarding to volunteers for sending
- Events Management
- Quarterly - Focus Newsletter
- Undertake other duties as directed within the scope of this role
Selection Criteria
- Demonstrated experience using Office 365 (word, excel, publisher, powerpoint) and Access
- Demonstrated experience in a similar role
- A systems approach to work
- Good organisational skills and attention to detail
- Demonstrated capability to co-ordinate a variety of activities and projects simultaneously
- Comfortable communicating with bereaved parents
- Familiarity working with volunteers
