About the role
A varied and interesting role to manage the administrative duties of the veterinary team to ensure that the clinic runs efficiently and cost-effectively to achieve optimal outcomes for the animals within SDCH care .
This role will involve:
- Managing clinic inventory
- Be the point-of-contact for company representatives; develop and expand rep relationship
- Facilitate the timely approval and payment of veterinary clinic invoices
- Assist with administrative duties relating to staff rostering and pay
- Collating clinic financial statistics for review by the Head Veterinarian
- Developing and executing a maintenance schedule for all veterinary equipment
- Ensure all necessary records are taken and kept in accordance with legislative requirements
- Perform reconciliation of daily takings where applicable
- Be responsible for responding to all email and phone enquiries in a timely fashion
- Maintain appropriate client confidentiality and data security
- Regularly review and improve the efficiency of clinic administrative processes with the Head Veterinarian
- Action any reasonable additional administrative duties as requested by the General Manager and Head Veterinarian
- Liaise with internal and external stakeholders on a regular basis
- Report all non-veterinary maintenance and safety issues to the Operations Manager
Desired skills and experience
- Minimum of 3 years’ experience in reception or customer support
- Medical background or Veterinary Reception/Nurse background is preferred but not essential
- Exceptional customer service skills and phone manner
- Strong written and verbal communicative skills
- Excellent at time management and multi-tasking
- Organised, flexible and attentive to the various needs of the vet team
- Ability to use initiative, assume responsibility for tasks and to resolve problems
- Knowledge of EzyVet advantageous but not essential
- Ability to multi-task and perform appropriately under pressure
- Ability to work autonomously as well as within a team
- A willingness to get involved in all areas of the clinic
