Position Summary
The Admin / Project Manager will provide comprehensive administrative support to the Managing Director and Head of Marketing & Fundraising. This role is crucial in supporting the building and transition to a new shelter at Kurnell, along with supporting the fundraising requirements of the Capital Campaign. The successful candidate will also manage project timelines, tasks, and budgets for various initiatives, ensuring a smooth transition and successful project delivery.

Key Responsibilities
Administrative Support:
- Provide administrative support to the Managing Director and Head of Marketing & Fundraising as required
- Schedule and coordinate meetings, prepare agendas, and take minutes.
- Follow up stakeholders on tasks and actions
- External stakeholder communication
- Manage correspondence, draft communications, and circulation of campaign or project materials
- Maintain records and ensure proper documentation.
Project Management:
- Develop and manage project plans, timelines, and budgets for numerous internal projects
- Coordinate with internal and external stakeholders to ensure project milestones are met.
- Monitor project progress and make adjustments as necessary to ensure successful completion.
- Support the change management process to ensure a smooth transition for the home, including working with internal stakeholders to identify change requirements and maintain documentation
- Plan the move / transition from current site to new site, and support staff with change requirements
- Complete project review process
General Duties:
- Assist in the planning and execution of the Capital Campaign fundraising project.
- Support meetings and events as required
- Perform other duties as required to support the organisation’s goals and objectives.

- Proficiency in Microsoft Office Suite

Qualifications / Experience required
- Minimum of 4 years' experience in project management and administration support
- Must be highly proficient in MS Office Suite.
- Exceptional customer service skills and phone manner – bubbly and friendly personality!
- Strong written and verbal communicative skills
- Strong internal relationships
- Driver's License required
- Excellent at time management and multi-tasking
- Organised, flexible and attentive to the various requirements of the role
- Ability to use initiative, assume responsibility for tasks and to resolve problems
- Ability to multi-task and perform appropriately under pressure
- Ability to work autonomously as well as within a team
- Ability to work from home and Strathfield and various offsite locations as required
- Ability to perform hours with flexibility to be available evenings / weekends as required for meetings and events - within the 76 hours / 9 day fortnight.
- Experience in Salesforce helpful
