About the Role

The Personal Assistant will provide high quality 1:1 executive and administrative services to support the Head of Relationships - Clients and Community and assist direct reports in the performance of their role and required participation.

Responsibilities:

  • Anticipating, organising and coordinating work flow through email and diary management, prepare and manage all correspondence, meetings, take minutes at key meetings and liaison with all SSI offices.
  • Assist in overseeing and ensuring compliance to funded contracts and projects that are accountable to the Senior Team
  • Coordinating media, attendance and speaking engagements by managing enquiries, invitations and liaising with Marketing and Communications staff to prioritise opportunities and make recommendations to the Head of Relationships - Clients and Community
  • Arranging and support travel, accommodation, expenses, filing and all administration duties for the Head of Relationships - Clients and Community
  • Attend meetings and work in progress reviews keeping track of items that need action by the Head of Relationships - Clients and Community, manage and execute those items on behalf of the Head of Relationships – Clients and Community where appropriate
  • Maintain knowledge of SSI’s operations, processes and people in order to facilitate aligned executive support. Providing a bridge for consistent, standardised, timely communication between the Head of Relationships - Clients and Community

Essential Criteria

  • Qualifications in business administration or a related discipline
  • Minimum 5 years' experience in a personal or executive assistant role working directly with a senior manager.
  • Excellent time management and organisational skills
  • Demonstrated ability to manage up
  • Excellent verbal communication and highly developed interpersonal skills and diplomacy
  • High-level customer service and attention to detail
  • High-level written skills.
