About the Role:

As a Property Contract Administrator at The Smith Family, you will play a crucial role in managing, developing and reviewing lease negotiations and negotiations to other relevant contracts (eg such as property developments, enhancements and fit outs), overseeing contract administration, and providing support for property projects. You will ensure contract terms and conditions are fair, ethical and commercially minded towards The Smith Family while maintaining core consistency across the property team's contracts. Additionally, you will contribute to the smooth execution of office relocations and fit-outs by preparing and evaluating contracts, liaising with external parties, and updating contract records.

Essential Qualifications and Experience:

  • Relevant qualifications in office administration, contract management, real estate, or business.
  • Previous experience in contract negotiation and administration management within the real estate market, demonstrating a track record of successful negotiations and contract administration.
  • Experience with project management or real estate negotiations, particularly in engaging with landlords, builders and contractors.
  • Demonstrated knowledge and experience in reviewing lease documentation and ensuring compliance with regulatory requirements.
  • Proficiency in Microsoft Office suite, particularly Excel, for managing contracts and databases.
  • Excellent communication skills and the ability to liaise with internal and external stakeholders effectively.
  • Strong coordination, problem-solving, and multitasking abilities to prioritise competing demands in a dynamic environment.

Desirable Qualifications and Experience:

Previous experience in a non-profit or similar organisation with a national or multi-state lease property portfolio. Membership in professional organisations related to office administration, contract management, or real estate.

Key Responsibilities:

  • Prepare standard contracts, including Heads of Agreement and lease and construction and fit out contracts, ensuring compliance with The Smith Family's policies and procedures.
  • Review, update and evaluate external contracts for both Heads of Agreement and lease and construction and fitout contracts, negotiating fair terms with external parties as necessary.
  • Prepare execution documents for submission to Company Secretary and Executive, ensuring timely approvals and execution.
  • Stay up to date with legislative changes and advise management.
  • Support TSF office relocations and fit-outs by preparing Minor Works contracts for contractors engaged in fit-out works and reviewing contractors’ documentation, costings and invoicing.
  • Maintain electronic property records in accordance with TSF policy and procedure, updating existing databases with renewed or newly executed contracts.
  • Review contracts in cases of disagreements or ongoing obligations to identify legal responsibility as per executed contracts, providing recommendations for resolution.
  • Provide project support for property projects, including identifying and gaining quotes from contractors, and negotiating variations.
