Purpose of the role

This is a role for an extremely driven, passionate and experienced project manager who believes that mindfulness has an integral role to play in the mental health and wellbeing of young people across Australia. You will help us make systematic change to the way wellbeing and mental health is addressed throughout the education system and across communities to ensure all young people grow up with the skills they need to thrive.

The Project Manager will take an active role in all delivery based Smiling Mind project initiatives, taking on the responsibility of ensuring all are delivered on time, budget and to an exceptional standard, ensuring our output has the biggest impact possible. With some large scale, multi-faceted programs set to be delivered over the next three years across the country, we are looking for an individual who is adept at managing logistically complex problems with ease.

You will support the development of long lasting positive relationships with our schools, funders and your colleagues built on trust and the knowledge that you will always get the job done well, within our supportive but autonomously led environment.

The role has responsibility of one direct report, who will be in charge of managing the day to day administration and coordination of key projects.

Skills and experience

  • Project Management expertise – Experienced project manager adept at delivering both waterfall and agile project methodology
  • Stakeholder Management – you have your own style of managing key stakeholders that delivers results – in the short and long term
  • Relationships – you will build relationships with all key stakeholders from across the organisation, schools, key department and stakeholder reps and funders to drive outcomes
  • Highly Organised– demonstrated ability to organise own workload and prioritise timelines with a high level of administration skills such as attention to detail, planning, accuracy and efficiency skills
  • Collaboration – Plan for and ensure organisational interdependencies are communicated and managed
  • Logistics Planning – ability to model out scenarios and plans to achieve optimal outcomes
  • Initiative - Capacity to develop and review systems, processes and procedures and negotiate project roadblocks
  • Excellence - Commitment to delivering excellence in customer service – Effective communication and relationship building skills, with a willingness to work cooperatively with internal and external stakeholders to organise program delivery schedules
  • Belief - An understanding of the role mindfulness can play in the development of young people and its benefits within the school setting
  • Impact & Analysis - Experience collecting data and reporting against program budgets, timelines and deliverables
  • Technology Adept – Understands how technology and software systems can be utilised to assist you in your role and has a generally sound understanding of how to utilise them effectively
  • Existing Knowledge - Understanding of the mental health and/or education space
  • Experience in similar project management roles; education or health focus beneficial but not mandatory

Functions of the role

Project Management & Direction

  • Responsible for the delivery of Smiling Mind’s portfolio of delivery-focused projects, primarily focused in Australian schools, ensuring all projects are delivered on time and on budget to an exceptional standard
  • Work with the supporting Project Officer to manage project timelines, key deliverables, user journeys, communications schedules and budgets
  • Effectively upwardly communicate to the Projects Director to drive positive outcomes for Smiling Mind as a whole
  • Monitor and manage project expenditure against agreed budgets; having accountability for ensuring the grant / project tracking tools are accurate and maintained
  • Lead and manage project meetings with clients and external and internal stakeholders
  • Development of business deliverables including Project Plan, Requirements Management Plans, deliverable lists, etc.
  • Manage workflows, timelines and deliverables, championing the CRM and project management platform
  • Manage Project Risks, issues and dependencies for all projects and elevate unresolved risks in a timely, proactive manner
  • Create an inclusive and collaborative environment whereby projects are delivered transparently across the wider Smiling Mind team, including with the required inputs from content, product / technology and marketing experts, to ensure the projects are successful and highly impactful.
  • Consistently refine predictions on project delivery timelines for benefit of future projects
