About the role
We are seeking an experienced and motivated Executive Assistant to support our busy CEO.
In this role, you will provide high-level administrative and operational support to ensure the Office of the CEO is efficient, functional and responsive. This position requires a professional who can deliver confidential, top-tier administrative support to facilitate smooth and effective operations.

Role Responsibilities
- Provide high level administrative support to the CEO including diary and email management, travel arrangements and reimbursements
- Draft and edit correspondence, communications, presentations and other documents as required
- Set internal and external meetings for the CEO including agenda, appropriate invites and associated document preparation
- Undertake project planning and coordination across programs for specific projects
- Support the delivery of accurate and timely program funding acquittals including uploading of reports as needed
- Provide input into the development of systems and processes to streamline the coordination of regional and service delivery activity
- Provide support for the review and execution of funding contracts and other contracts
- Manage the organisational feedback, compliments and complaints register, stakeholder feedback and responses to service audit processes.
Essential Criteria
- Experience as an Executive Assistant in a small to medium NGO with the willingness to learn, grow and adapt to change in the role
- Excellent oral and written interpersonal skills and demonstrated ability to interact with a diverse range of people including sound analytical skills and an ability to work with discretion
- High level organisational skills, attention to detail, ability to multitask and set priorities to deliver results and meet deadlines
- Demonstrated initiative, flexibility and self-management skills and proven capacity to work in a small team within a fluid and dynamic environment with limited supervision
- Knowledge and experience in organisational effectiveness, operations management and support.
- Fluent in the use of Microsoft Office 365 and confidence in systems management
- A passion for social change and contributing to an organisation dedicated to supporting the most disadvantaged people in our communities.
- Prepared to undertake and maintain a National Criminal History check and NSW driver’s license as a condition of employment.
