The Advocacy Operations Support Officer provides confidential and professional support to the Manager, Advocacy Operations and Regional Services and high level administrative and planning support for the Advocacy Operations portfolio. This role needs to be proactive, have exceptional follow through and be well organised while remaining flexible and adaptable.

Role Responsibilities

  • Provide administration support to Manager, Advocacy Operations and Regional Services including but not limited to diary, travel and expenses, internal document preparation, drafting high level written correspondence
  • Provide varied support to ensure the team are focused on high priority tasks, being effective and efficient in their roles. Help to balance competing priorities and look three weeks ahead to anticipate needs and allocate time for key tasks
  • Provide high level support by managing your leader’s calendar, organising daily and weekly meetings, booking travel and preparing documents to support the Manager, Advocacy Operations and Regional Services to be organised and efficient. Proactively raise important items with the Manager, Advocacy Operations and Regional Services.
  • Organise meetings across geographic areas, prepare agendas in advance, take detailed notes and ensure action items are captured and followed up promptly
  • Attend to and manage the Manager, Advocacy Operations and Regional Service’s inbox, ensuring urgent matters are flagged and handled while maintaining smooth communication channels and confidentiality
  • Assist with preparation of proposals, power point presentations and reports for meetings and stakeholder presentations as determined by the Manager, Advocacy Operations and Regional Services
  • Provide input into the development of systems and processes to streamline the coordination of regional activity
  • Undertake project planning and coordination across programs as needed
  • Have input into the consolidation of accurate and timely program funding reports
  • Other tasks and activities as instructed by the Manager, Advocacy Operations and Regional Services from time to time including general administrative support to the Advocacy Operations leadership team.

Essential Criteria

  1. Proven experience as a program administration support officer in a community organisation
  2. Excellent communication and interpersonal skills
  3. Strong organisational and time management abilities
  4. Flexible and adaptable to changing priorities
  5. Good interpersonal and communication skills with the ability to explain complex information concisely.
  6. Skills in negotiation, conflict resolution, decision making and problem solving.
  7. Ability to work as part of a team and independently and prioritise your work and deliver results.
  8. Highly proficient with technology and software, including Microsoft Office 365.
  9. A passion for social change and contributing to an organisation dedicated to supporting the most disadvantaged people in our communities.
  10. Prepared to undertake and maintain a National Criminal History as a condition of employment.
