Sunbury and Cobaw Community Health is a not-for-profit community health organisation providing a comprehensive range of free and low-cost health, wellbeing and community services in early childhood, youth, families, adults, aged and disability.

Covering an area of over 1700 km2 from Sunbury to beyond the borders of Macedon Ranges Shire our 280 staff and 100 volunteers are based across four sites at Kyneton, Romsey, Sunbury and Woodend.

About the role:

Working directly with the CEO, the Executive Assistant is a key role within the executive team at Sunbury and Cobaw Community Health (SCCH).

As the EA you will provide critical administrative support to the CEO, Board of Directors and where appropriate the broader Executive team. You will be responsible for organising and prioritising key tasks, time management and practical support to the CEO. You will also provide high level administrative and logistical assistance to the CEO, Board and Executive leadership team to ensure the smooth running of the CEO’s office.

Specific key duties and responsibilities include (but are not limited to):

  • Providing timely and effective diary management for the CEO
  • Providing professional and confidential secretariat support to the SCCH Board of Directors and chairperson as required
  • Representing the office of the CEO in a professional manner that enhances and promotes the reputation of SCCH to the broader community, key stakeholders, clients, guests and visitors.
  • Providing administrative and clerical support including incoming and outgoing correspondence, and minute-taking for the Executive team.
  • Supporting the CEO with drafting, complying, editing and reviewing correspondence and agendas for key meetings.
  • Supporting the Company Secretary to ensure compliance with requirements of the Corporations Act and Company Constitution
  • Appropriately maintaining documents and board papers as part of organisational governance and records managements.
  • Leading specific projects for the CEO, Board and Executive team.
  • Co-ordinating international, intra and interstate travel and accommodation for the CEO, Board and other SCCH staff.
  • Event management for internal and external meetings, workshops and seminars.

About you:

  • Extensive experience (5+ years) in the provision of executive level support to a CEO, Board, and/or Executive.
  • Maintain the highest levels of trust, integrity, tact and diplomacy with the ability to effectively juggle competing demands
  • Maintain high levels of professional presentation, courtesy, punctuality and reliability.
  • Ability to represent the organisation’s leadership team and office of the CEO by using highly developed interpersonal skills, communication, problem solving, conflict resolution and negotiation.
  • Proven capability to remain calm, confident and resilient while managing challenging situations.
  • Strong collaborator who can effectively manage stakeholders across the organisation to achieve the business objectives.
  • Embrace diversity and actively promotes respect for all clients, employees, and other stakeholders.
  • Able to actively promote better practice by contributing to the development of organisational systems and processes.
  • Background in community health or not-for-profit sector is desirable.
