Living Languages is seeking a suitably experienced and motivated administrative enthusiast to be our virtual-office manager for three days per week. The Office Manager supports the CEO in ensuring smooth operations in several areas including general administration, HR, ICT, and travel.
The role requires diverse qualities: excellent interpersonal and communication skills, a willingness to learn, and an ability to work well in a team of remote workers.
We are looking for a person with experience and/or qualifications in office administration to join our team under a fixed-term contract from April 2024 – June 2025, with an option to extend. DUTIES
As Office Manager you will provide high level administrative support to the Living Languages Team:
- Provide executive HR support to the CEO, including coordinating recruitment and on-boarding new staff; implementing Policies and Procedures; organise staff meetings (minute taking and record keeping); and managing our participant database.
- Support the delivery of language training workshops and other events, in such areas as organising travel and accommodation, and researching identified opportunities and service providers. Possibly deliver training in such topic areas as Project Planning, Public Speaking and Language Advocacy.
- Liaise with IT helpdesk to maintain our ‘virtual office’, including intranet folders, permissions, Internet telephony, MS Office accounts and equipment (laptops etc).
- Manage the contact email, our participants’ first point of contact with us; consult with Team and respond appropriately and sensitively.
- Manage distribution of Living Languages’ Learner’s Guide Template.
- Other duties as required.
ESSENTIAL SKILLS & EXPERIENCE:
- Experience in an administrative role, preferably in an Aboriginal or Torres Strait Islander Organisation.
- Experience in engaging and working effectively with Aboriginal or Torres Strait Islander people, organisations and communities.
- Ability to work remotely, including access to reliable internet, either from home or from a community-based office space, and to travel occasionally to attend Planning Meetings.
- Self-motivated and capable of working independently without supervision.
- Excellent organisational skills, including the ability to prioritise and finish tasks on time.
- Excellent written and oral communication skills.
- Ability to communicate sensitively and effectively with Aboriginal and Torres Strait Islander peoples with an awareness of cultural protocols.
- Confidence in using computers, including the use of video call platforms (i.e. Teams and Zoom), and Microsoft Office suite, including SharePoint, Outlook, Word and Excel.
DESIRABLE SKILLS & EXPERIENCE:
- Qualifications in Administration or Office Management.
- Experience in managing an online, “virtual” office or learning environment.
- Knowledge of, or experience in Aboriginal and Torres Strait Islander Language work.
- Ability to travel occasionally to workshops supporting delivery of training in Project planning or Public Speaking/Language Advocacy.
- Knowledge of, or experience in supporting the operations of an Indigenous Board.
