We’re a fast-growing medtech company delivering neuro-controlled exoskeleton therapy to people living with spinal cord injuries, stroke, MS and other neurological conditions. As Practice Coordinator, you’ll manage systems, lead daily admin workflows, be a compassionate support to clients and help shape a team culture that supports consistency, clarity and care. From Zendesk to waitlists, you’ll keep things running smoothly in a high-volume, multi-site environment - building the rhythm behind a rapidly scaling service.
  • What your week might look like: One day you’re triaging Zendesk inquiries or fine-tuning how service agreements are tracked; the next, you’re smoothing out a scheduling clash or helping a client feel heard and supported when the path forward isn’t straightforward.
  • Bring your experience (from anywhere): Admin gun from the health world? Service lead from a social enterprise? Office manager with a secret system-building superpower? We’re open to where you’ve gathered your skills, especially if you can demonstrate you’re naturally adaptable - ready to pivot priorities, roll with changes, and bring others with you. Bonus points if you’ve worked within NDIS or understand the nuance of funding-based service delivery.
  • Work that works for you: This is a permanent role with strong preference for full-time, though we’re open to 4 days/week for the right person. We’re looking for someone who’s ready to commit and grow with us - not just for a season, but for the long haul. You’ll be based in Sydney (ideally along the Mascot–Parramatta corridor) with flexibility to work between home and clinic. Salary range is $80–90K pro rata, depending on experience.

The balance of work will shift over time, but to start:

〰️ 50% Systems & Service Delivery

You’ll be the operational engine - keeping Zendesk clean, service agreements humming, and practice management tools running like a dream. When a family, case manager or client calls in, our team; and your systems, ensure they’re welcomed, supported, and booked in quickly.

〰️ 30% Team Coordination & Culture

Run team huddles, empower staff across multiple clinics, and create a rhythm that supports accountability and camaraderie. You’ll document and refine SOPs, build workflows that make everyday processes easier, and create clarity in how work flows from site to site - while empowering your team to take ownership and grow in confidence.

〰️ 20% Client Experience & Business Support

You’ll keep the client journey smooth from first inquiry to follow-up; reducing no-shows, tracking funding, moving waitlists, and making sure everyone feels supported along the way. You’re the behind-the-scenes glue that keeps the service steady, sustainable, and deeply human.

Whether someone’s confused, cranky, or just new, you meet them with empathy and confidence. You’re the person people turn to when they need a steady voice or a simple answer.

  • Commercial & Customer-Obsessed

You make sure invoices go to the right people, follow up on debt without fuss, and keep cash flow healthy so the service keeps humming. You balance warmth with accountability - because good business is good care.

  • NDIS Know-How (or readiness to learn fast):
