About the Role

As Office Coordinator, you'll play a vital role in overseeing daily office operations, ensuring efficiency, organisation, and a professional workspace. You'll manage administrative functions, coordinate office resources, and maintain smooth workflows to support stakeholders effectively.
Key responsibilities include but not limited to:
- Manage front reception by greeting visitors, handling inquiries, and maintaining a professional presence while also managing emails, letters, phone calls, daily incoming mail, office supplies, equipment maintenance, and general administrative tasks.
- Deliver effective management of the Corporate Office facility, including repairs, maintenance and stakeholder liaison.
- Support preparation and set up of internal all staff events and coordinate food and beverage orders, ensuring appropriate selections for meetings and events for the Executive office.
To be successful, you will need:
- To be able to work in the office on Monday, Wednesday and Thursday from 9am - 3pm, with the possibility of additional hours or days as needed.
- A Certificate IV in Business Administration or other relevant qualification.
- Demonstrated experience in a diverse administrative position, including meeting and event coordination, minute taking and secretariat duties.
- Experience handling sensitive information with a high level of confidentiality and professionalism.
- Exceptional organisational skills.
- Ability to multitask and adapt to a fast-paced environment.
- Excellent communication and interpersonal skills, with the ability to effectively liaise with various stakeholders.
- Proficiency in Microsoft Office (Word, Excel, Outlook) as well as being able to pick up new software.
- Ability to assertively manage requests and confidently say no when necessary to ensure efficiency and maintain focus on priorities.
- Satisfactory completion of safety screening including a current full Victorian Driver's License, National Police Check, and the right to work in Australia.
