JOB DESCRIPTION

Due to our organisation’s continued growth, we are seeking an organised and proactive Administrative Assistant to support the administrative delivery of multiple projects across Reframing Autism. This is a casual position, 16 hours per week, to be worked across 4 days. This position is classified under the Social, Community, Home Care and Disability Services Award Level 4, Pay Point 1. 

This role is critical to ensuring the smooth coordination, communication, and day-to-day administration of projects and operational activities across the organisation. The successful candidate will work closely with internal team members, consortium partners, stakeholders, and external contributors to support the successful delivery of a range of projects.

This position requires someone who is highly organised, adaptable, and able to move between multiple projects while maintaining accurate records, clear communication, and strong administrative processes.

The Administrative Assistant role offers the opportunity to work in a collaborative, values-driven and fully remote environment that supports flexibility and meaningful work within the Autistic and broader disability community.

Reporting to Head of Programs, key responsibilities will include:

  • Acting as a key liaison between internal team members, consortium group members, project partners, and external stakeholders
  • Developing a strong understanding of multiple projects to effectively support project leads and project delivery
  • Support the delivery of project tasks by coordinating resources, managing schedules, facilitating effective communication, and ensuring project timelines are met.
  • Monitoring shared inboxes and maintaining structured filing systems. The role involves responding promptly to and sending out template emails as required, as well as forwarding approved invoices to the accounts inbox.
  • Managing the Reframing Autism phone line and responding to enquiries promptly and professionally during standard work hours
  • Monitoring payments for committees, contributors, and contractors, including following up invoices and arranging gift cards where required
  • Transferring templates and information into internal systems including Monday.com, Microsoft Suite/Forms, and SurveyMonkey
  • Coordinate consortium and stakeholder discussions with project partners, sector representatives/ organisations and community reference group members. This may include creating events in the appropriate system, providing attendees relevant preparation materials, communicating with facilitators
  • Attending key project meetings and maintaining decision logs, action items, and meeting notes/minutes
  • Monitoring and maintaining project records and project plans within internal systems
  • Coordinating and supporting consultation logistics including focus groups, interviews, and asynchronous feedback activities
  • Maintaining project records for internal monitoring and external reporting purposes
  • Providing general administrative and operational support across the organisation as required

NECESSARY SKILLS AND ATTRIBUTES:

  • Minimum 2 years’ experience in an administrative role
  • Excellent written and verbal communication skills
  • Proficiency in Microsoft Office Suite
  • Strong organisational skills and attention to detail
  • Ability to work autonomously while contributing positively within a collaborative team environment
  • Ability to manage multiple projects and competing priorities effectively
  • Working With Children Check and National Police Clearance

  • Willing to work in a team, learn new skills, and take instruction.
  • Must live in and be eligible to work in Australia

DESIRABLE BUT NOT NECESSARY SKILLS:

  • Knowledge of Autism, neurodiversity, and/or disability
  • Experience working with an Autistic team
