Position Summary
The Administration Officer will be responsible for supporting the smooth day-to-day running of the Queen Victoria Women’s Centre's office, venues, QVWC SHOP! and liaison with building maintenance suppliers.
Position Objective
To maximise opportunities for the Centre to deliver on its strategic initiatives by providing support to office staff, venues staff, QVWC SHOP! Team and stakeholder relationships.
Key Responsibilities
Office/Building
- Open and close the Centre Monday to Friday.
- Liaison with stakeholders such as software licensors, building maintenance providers, tenants
- Maintain and research data
- General office duties: including but not limited to reception/phone answering, mail management, internal communications, schedule management, proof reading,
- Other tasks as may be reasonably assigned by the CEO
Venues/Events
- Assist with set up and clean away for venue hirers (at the direction of the Program & Venues Coordinator)
- Support and attend the Centre’s events and activations where reasonably requested to do so
QVWC SHOP
- Customer service in QVWC SHOP! including lunch cover and covering annual leave
- Monitor SHOP email inbox & respond to general queries
- Unpack new stock & in store visual merchandising incl some light cleaning
- Ecomm product creation & maintenance (data entry)
- Dispatch – pack & send ecommerce orders
- General assistance with stock take, administration where reasonably requested to do so
Reporting and Accountability
This position reports to the Chief Executive Officer.
The successful applicant is required to:

Inherent Job Requirements
The successful applicant needs to be capable of fulfilling the position responsibilities outlined above, some of which may include:
- Reasonable lifting of venue or office equipment
- Out of office hours work for some Centre events and activations
Essential Skills, Experience and Personal Attributes
The position requires the following:
- Cultural awareness and sensitivity to the needs of people who identify as women or non-binary people and from diverse cultural backgrounds
- Quick learner, digital native and good communicator communication skills
- Ability to take initiative, work independently and collaborate in a small team
- Skilled with Microsoft Office or can adapt from a similar suite of software
- Attention to detail, resourceful, positive, flexible and well-organised
- Able to efficiently manage multiple competing priorities
Desirable Skills, Experience and Personal Attributes
- Experience in office, hospitality and/or retail environments
- Competent knowledge of language other than English
Indicative Terms and Conditions
- Location: based at the Queen Victoria Women’s Centre 210 Lonsdale Street Melbourne
- Salary: $55,000 pa + super + 5 weeks holiday p.a.
- Days: Monday to Friday, hours flexible
