headspace is a world-first youth mental health initiative that supports young people who are going through a tough time; whether it’s depression, anxiety, relationship break-ups or alcohol and other drug issues. The youth-friendly services at headspace are aimed at teenagers and young adults in recognition of the fact that 75 percent of mental disorders emerge before the age of 25 years.

About the job

The Administration Support Officer will provide operational support to the Senior Administration Officer of headspace Werribee to ensure the effective delivery of all administrative functions.

Reporting to the Senior Administration Officer you will:

  • Client Reception and Support: Welcome and assist young people, families, and friends with enquiries and appointments; maintain a professional and friendly demeanour both in-person and via phone.
  • Administrative Operations: Manage client records, schedule appointments, follow up on DNAs, and ensure accurate, timely handling of referrals, correspondence, and medical documentation.
  • Data and Systems Management: Use medical software and databases to create and update client profiles, action emails, process Medicare claims, and track pathology or medical results.
  • Centre Coordination: Ensure the centre is tidy, stocked, and youth-friendly; coordinate meeting rooms, catering, and supply orders while monitoring infection prevention and medical equipment.
  • Team Collaboration and Training: Provide consistent communication on processes, support emergency procedures, and assist in training new administration staff through shadowing and mentorship.

Skills and experience

The following criteria must be met for consideration for this position:

  • Administrative and Technical Expertise: Proven ability to deliver high-standard reception and administrative services, including advanced word processing, computer skills, and familiarity with medical software and Medicare billing systems.
  • Knowledge and Compliance: Understanding of relevant legislation, policies, workplace health and safety practices, and confidentiality requirements, with the ability to uphold privacy standards.
  • Communication and Collaboration: Strong interpersonal skills to effectively engage with young people, families, and diverse stakeholders, fostering a welcoming and inclusive environment.
  • Problem-Solving and Initiative: Demonstrated capacity to multitask, exercise initiative, and solve problems efficiently while maintaining high levels of accuracy and attention to detail.
