Join Us as Our People & Culture Coordinator

In this dynamic role, you’ll be the go-to person for delivering high-quality administrative support across a wide range of People & Culture functions. From recruitment and onboarding to learning and development, employee engagement, OHS, compliance, performance management, and offboarding—you’ll play a key part in supporting the full employee lifecycle.

Reporting directly to the P&C Manager, you’ll be part of a supportive and collaborative team that includes a P&C Advisor and a Workforce Development Coordinator. Together, you’ll help shape a positive and engaging workplace culture.

Duties include but are not limited to…

  • Ensure screening of all pre-employment conditions are undertaken and reviewed for all candidates offered employment with OV.
  • Prepare contracts of employment and associated documentation within set timeframes.
  • Onboard new hires/volunteers/student placements within set timeframes using the Employment Hero system.
  • Maintain the ELMO system recruitment and onboarding systems to enhance administrative and compliance aspects of these processes.
  • Process all workflows relating to employment change requests within the ELMO Workflow system.
  • Prepare correspondence for employee changes following approvals of workflow requests.
  • Ensure maintenance of accurate and consistent employment related documentation including employment contracts, position descriptions, organisation charts and induction courses.
  • Provide administration support of the P&C Team meetings including agenda preparation, meeting coordination, attending meetings to take minutes and follow up of actions.
  • Facilitate Manager and Team Leader learning and improved capability across all ELMO and Employment Hero systems.
  • Maintain the ELMO Recruitment & Onboarding platform to deliver and report on best practice recruitment and onboarding processes.
  • Maintain the Employment Hero platform in the entry and reporting of employee data and information throughout the employee lifecycle.
  • Provide advice and support to managers and staff within the organisation to ensure OV complies with its OHS obligations in the workplace.
  • Prepare monthly P&C Reports as required.
  • Systematically capture individual training records and data for auditing, reporting and compliance purposes, providing monthly reporting and analysis of staff uptake and completion rates of assigned training.

We’re looking for a P&C professional who brings a blend of expertise, energy, and initiative. To thrive in this position, you’ll need:

  1. A relevant tertiary qualification in Human Resources.
  2. At least 3 years of hands-on experience delivering high-quality HR administration and coordination.
  3. Exceptional organisational skills paired with clear and confident communication—both written and verbal—with a proactive, solutions-focused mindset.
  4. The ability to build and maintain strong, effective relationships with both internal teams and external partners.
  5. A solid understanding of HR frameworks and current employment legislation.
  6. Initiative and adaptability, with a flexible and innovative approach to tackling challenges.
  7. Sharp attention to detail and a drive to see things through and get the job done.
