Your Opportunity:

The purpose of the position is to meet the requirements of Laboratory Services and the goals of the VCGS in terms of (but not restricted to) accuracy, timeliness and other customer service goals as determined by VCGS. This position will be split between two roles – as part of the courier and logistics group. The split will depend on workload and business requirements to begin with but will eventually lead to a larger responsibility in the couriering area. They come under the supervision of the Customer Care Group – specimen reception/logistics Team Leader.

You will be joining the courier team as your primary role. When required, and on a rotational basis you will be on the road performing courier duties within VCGS’ courier area of service. You will be required to provide effective and efficient support for the main courier in terms of delivery of specimens and other materials to and from clients (ultrasound practices, pathology laboratories and hospitals). The areas of services include Metro Melbourne, Greater Geelong and the Mornington Peninsula. VCGS couriers must work collaboratively to provide a timely and seamless service to our clients and to assist our laboratories in delivering results within agreed turnaround times. When not out couriering In the Logistics space duties will include kit preparation, fulfilling orders, creating shipping documents, sending, and tracking via external courier companies and stocktaking. This role will require daily use of Microsoft Excel and Word. Thorough and varied troubleshooting may be required. Highly developed interpersonal skills are fundamental in the position of a customer care operator within the Customer Care Group. Operational staff must be able to work in a team environment and with minimal supervision.

It will be expected that you be available to work a flexible full-time load within laboratory operational hours.

Your responsibilities include but are not limited to:

  • Providing effective and efficient delivery of specimens from ultrasound practices, private medical practices, other pathology laboratories and hospitals on a regular run as well as on an ad-hoc basis.
  • Providing effective and efficient delivery of other materials, including request forms, kits, forms etc., to clients as required.
  • Tracking of specimens is essential (manual signing and or by electronic means e.g. barcoding and using handheld scanners).
  • Providing effective and efficient delivery of Board papers and other confidential documents and packages to various Metropolitan Melbourne locations as required.
  • Provide customer feedback to line managers as part of your client interactions.
  • Preparing different types of sample kits.
  • Fulfilling orders from our clients for stock and record these in excel spreadsheets.
  • Shipping kits and supplies interstate and overseas using external courier companies (AusPost, TOLL, FedEx, etc.).
  • Ensuring NPAAC & IATA standards are met.
  • Preparing shipping documents for Australian Customs.
  • Tracking and troubleshooting of deliveries.
  • Dealing with clients and medical professionals via phone, fax, scanning and email.

Selection Criteria

  • Sound knowledge of Metropolitan Melbourne.
  • Reasonable computer skills including familiarity with standard word processing programs, especially excel.
  • Previous experience in a medical / pathology courier position is highly regarded.
  • Previous customer service experience desirable.
  • Understanding of patient information advantageous.
  • A conscientious and responsible approach to laboratory support work.
  • Critical eye for detail.
  • Demonstrated ability to assist and support change.
  • Ability to work effectively in a busy work environment.
  • A strong work ethic.
  • Ability to work to a high standard of accuracy as is required in a diagnostic laboratory.
  • Ability to manage time effectively, problem identify and solve, prioritise tasks/workload.
  • Effective written and verbal communication skills.
  • Ability to work independently or within a team as required.
