As an Administration Assistant, you will play a critical role in supporting the Clinical Genomics laboratory, which offers complex and highly personalised sequencing services on a national and international scale. The team ensures smooth and timely processing of patient test requests and samples - laying the groundwork for accurate and meaningful genomic analysis.

About your new team

The Victorian Clinical Genetics Service (VCGS) is a pioneer in genetic and genomic testing, proudly serving individuals across Victoria, Australia, and around the world. In this role, you will:

  • Support the intake and triage of patient samples and paperwork.
  • Perform accurate data entry and validation.
  • Liaise with clinicians and lab teams to ensure test readiness.
  • Contribute to seamless lab workflows by enabling efficient diagnostic processes.
  • To assist in the provision of the effective and efficient delivery of services by the Clinical Genomics laboratory as part of the Genomics Administration team.
  • To be a point of reference for troubleshooting patient samples (e.g. seek missing patient demographic data, clinical information, consent forms, billing information, clinician contact details, request external laboratory reports where required).
  • Ensure patient referral forms have all appropriate information recorded and meet requirements for testing prior to full data entry.

What we need from you:

  • Strong communication and organisational skills
  • Victorian Certificate of Education (VCE) or equivalent and/or a Certificate or Associate Diploma in an area of health science/practice
  • Understanding of specimen reception and patient information systems is advantageous
  • Previous administration experience in a pathology laboratory setting is regarded
  • An ability to thrive in a fast-paced, time-sensitive environment
  • Willingness to be cross-trained and support team coverage during busy periods or leave
  • A proactive, detail-oriented mindset

You’ll report operationally to the Head of Service Delivery and Development and receive technical guidance from senior members of the Clinical Genomics Laboratory.
