Electorate Officers are employees of the Victorian Parliament supervised by the Member of Parliament in whose electorate office they are employed.
Electorate Officers play a critical role in the effective functioning of the institution of Parliament and are a crucial support to the supervising Member of Parliament. The role of Electorate Officer requires a high degree of trust, integrity and confidentiality both in supporting the supervising Member and when interacting with constituents and visitors to the office or in the community.
In order to maintain public trust and promote Parliament of Victoria’s standing as a respected institution, Electorate Officers must demonstrate Electorate Officer Values in the performance of their duties and are bound to these values through the Electorate Officer Code of Conduct.
Electorate Officers understand the Victorian Parliament’s processes, procedures and function, the responsibilities of State and Federal governments and public services, and the electoral procedures.
Through their supervising Member, Electorate Officers apply their knowledge of the electorate to support and service the community.
The role of an Electorate Officer is varied, and the scope of duties is informed by the Electorate Officer’s skills, experience, and the needs of their supervising Member and electorate.
The successful candidate will be working out of Rachel Payne's Electorate Office in Chelsea, so living in the South-East is favourable.
Pursuant to section 30(5) of the Parliamentary Administration Act 2005, Electorate Officers are prohibited from performing ‘party-specific activity’ during the course of their employment.
RESPONSIBILITIES
- Inbox and diary management including confirmation of meetings and events.
- Constituent case management. Provide an initial response to constituent queries via telephone or email and seek guidance to progress matters to resolution.
- Draft responses to routine and constituent correspondence
- Maintain Voter.ID database and contact lists for local organisations.
- Provide support with the implementation of media strategies, including social media content support and review.
- Maintain and update equipment and systems, including records management and communication systems.
- Collaborate and inform co-workers on office-based activities and works in progress.
- Ensure adequate supplies of office consumables are maintained.
- Ensure office security protocols and work health and safety policies and procedures are adhered to.
- Report any workplace security or WHS incidents.
- Maintain database of local community events of importance to the Member (festivals, AGMs, local government events etc.).
- Electorate focused campaign support.
- Coordinate and book travel arrangements.
KEY SELECTION CRITERIA
- Demonstrated initiative and ability, particularly to perform a broad range of office support duties, often to tight deadlines and with limited supervision.
- Good written and oral communication skills with a proven ability to provide sound advice to staff and constituents.
- Sound computer skills with experience in MS suite of software and online communications, particularly social media platforms.
- Proficiency in video editing and graphic design with adobe suite and Canva.
- Experience managing social media is highly desirable.
- Demonstrated commitment to provide the highest level of client service and maintain the strictest confidence on all issues.
- Ability to exercise sound judgement in assessing and directing enquiries from media and external stakeholders.
- Ability to work effectively in a team environment and respect the needs of others.
- Ability to evaluate work procedures, practices, and systems and to implement change.
- Demonstrated behaviours consistent with Electorate Officer values and Code of Conduct, including the ability to display high levels of responsiveness, integrity, impartiality, accountability, and respect in relationships with others and decision making.
