Position Summary

The Administration Assistant assists with general office duties and performing various clerical tasks to ensure smooth office operations.

 The Administration Assistant will manage reporting functions across all Koorie Heritage Trust systems and provide support to staff in the collection, collation and reporting of visitor feedback surveys and data entry of public programs and exhibitions data.

The role will also support in the management of key suppliers to the KHT including office cleaning and mail management.

Key Responsibilities

  • Maintaining the KHT Asset Register,
  • Managing Salesforce Reporting requirements including Acquittals Reporting, Users & User permissions, Calendars and general reporting,
  • Managing Lightspeed Users & User Permissions as well as Inventory Matrices and Reporting,
  • Assist in the redevelopment of the KHT Human Resources Policies & Procedures,
  • Manage key suppliers including the KHT Cleaning Contractor,
  • Manage stock deliveries and inbound mail via the MAPCo delivery dock,
  • Assist in the collection of information from public programs, temporary and permanent collections and visitor surveys,
  • Assist in general tasks including assisting in the set-up of rooms for Venue Hire and Workshops.

Other tasks or additional requirements may be assigned to the employee from time to time as is required and reasonable. The role may change in scope as is necessitated by ongoing Trust demands and requirements.

Selection Criteria

  •  The Administrative Assistant needs a solid foundation of soft skills, technical proficiency, and practical experience.
  • Organisational skills: This includes time management, prioritising tasks, and managing multiple tasks.
  • Communication skills: Both written and verbal communication are crucial for interacting with colleagues and suppliers. 
  • Technical skills: Proficiency in office software like Microsoft Office Suite (Word, Excel, Outlook). Training and support in other office systems will be provided where required.
  • Experience: Prior experience in office administration, customer service, or similar roles.
  • Attention to detail: Ensuring accuracy in data entry, reports, and other tasks. 
  • Interpersonal skills: Building rapport with colleagues and suppliers. 
  • Problem-solving skills: Identifying and resolving issues efficiently.
