The Jean Hailes Clinics are highly regarded multi-disciplinary specialist women’s health clinics. One clinic is located in East Melbourne and the other in Clayton. The Clinical Operations team (non-clinical practice staff and nurses) is responsible for the delivery of a wide range of high-quality clinical services from approximately 40 specialist health contractors.

About the Role

Reporting directly to the Senior Practice Manager, the ideal candidate will have experience as an experienced Receptionist/ Patient Services Officer in a multidisciplinary practice setting. The Patient Services Team Leader is responsible for overseeing and coordinating administrative tasks to ensure the efficient operation of the department. This role requires strong leadership skills, expectational organisational abilities and a commitment to delivering high- quality administrative support. You will have a natural consultative communication style and enjoy the challenge of problem solving and working both autonomously and collaboratively when required.

Clinic Operations:

  • Oversee the booking and diary management of the clinic, ensuring this is undertaken efficiently, effectively, and professionally.
  • Maintain comprehensive records of billing transactions for auditing purposes.
  • Complete and submit the roster for the Patient Services Officers (PSO) and nursing team, ensuring adequate coverage across clinic.
  • Ensure Patient Service Officers are provided with adequate training and competency is assessed on a regular basis and communicated to the Senior Practice Manager.

Patient Services:

  • Ensure patient service is courteous, efficient and professional.
  • Address patient enquiries and resolve any issues or problems that are escalated from the Patient Services team to Senior Practice Manager.

Managing Services for Health Care Providers:

  • Ensure comprehensive understanding of referrals, promptly assigned, triaged, and scheduled.
  • Action waitlist, maximising booking diary for clinicians, ensuring all documentation has been received and processed.
  • Requirements of surgical bookings are met efficiently.
  • Ensure PSO have comprehension of tasks, adhering to optimal work productivity with the clinic, including room preparation, waiting area and back office.
  • Processing payments via EFTPos and Hicaps facilities.

Workplace Health and Safety:

  • Maintain and ensure working practices, equipment and areas are meeting Occupational Health and Safety workplace and AHPRA standards.

About You

Essential Criteria

To be considered for this role you must have:

  • High school graduation.
  • A minimum of 3+ years' experience as a Medical Receptionist in a GP or Specialist Clinic.
  • Software programs- Best Practice and HotDoc.
  • A dynamic personality able to motivate and work collaboratively with staff.
  • Knowledge of MBS billing or other Healthcare funding.
  • Excellent communications skills – written and verbal

Desirable Criteria

  • Experience and understanding of quality standards and practice accreditation
