POSITION: ADMINISTRATION OFFICER

Reports to: Operations manager

Basis: Full time preferred

Location: Remote home or shared office, ideally close to Canberra/Sydney/Melbourne/Brisbane/Katoomba

Duration: Two-year contract, extension possible

Salary/wage range: $70,000-$88,000 ($35.43-$44.53 per hour) plus super, depending on skills and experience

Award Clerks—Private Sector Award 2020 – level 3/4 (wage exceeds award rate)

JOB DESCRIPTION

The Admin Officer is responsible for the administrative functions of the Invasive Species Council.

The Admin Officer reports to the Operations Manager and is supported by a Database Officer, part time Administration Assistant and Bookkeeper.

Duties include:

  • Establish and maintain systems to support the efficient, effective and safe work of staff, contractors and volunteers.
  • Organise online filing and document management.
  • Oversee responses to public inquiries.
  • Oversee donation receipting and acknowledgements.
  • Ensure payment of invoices, membership payments, subscriptions, insurance and other financial obligations and the provision of receipts.
  • Support fundraising and charity regulatory compliance.
  • Support staff recruitment, induction and provision of equipment and software.
  • Maintain procedures and arrange training for the use of systems, equipment and software.
  • Coordinate and promote internal meetings and events.
  • Proactively contribute to the culture at ISC: a positive, fun, and value-driven culture within the team and ISC.
  • Other duties as determined by the Operations Manager from time to time.

SELECTION CRITERIA

Essential

  1. Demonstrated experience in providing high level administrative support.
  2. Excellent staff support and public liaison skills with a commitment to providing a high-quality standard of service.
  3. Highly developed written, verbal and interpersonal skills.
  4. Demonstrated ability to build positive working relationships.
  5. Excellent time management skills and the ability to identify and lead improvements and efficiencies within a decentralised and fast-paced organisation.
  6. Strong computer literacy skills with the capacity to work with cloud-based office systems such as Google Workspace, Dropbox, Xero, civiCRM, Mailchimp and Microsoft Office applications such as Word and Excel.
  7. Proven ability to work autonomously and as part of team and to enhance positive workplace culture.
  8. Willingness to travel to attend staff meetings including a twice-yearly all-staff gathering.

Desirable

  1. Qualifications in Business Administration or similar
  2. Knowledge of Xero, CiviCRM, Mailchimp and cloud-based storage systems such as Google Workspace and Dropbox.
  3. Detailed understanding of invasive species and conservation issues.

LOCATION

The position is to be based at a home or shared office, ideally close to Canberra, Sydney, Melbourne, Brisbane or Katoomba. The Invasive Species Council supports decentralised working arrangements.
