About the opportunity

The HSU is excited to recruit an Executive Assistant to the Secretary.

This is an important role within the Executive Office, providing professional administrative and executive support to the Secretary and helping ensure key priorities are coordinated effectively.

You will work closely with the Secretary to manage diary and travel arrangements, coordinate meetings and events, prepare documentation and correspondence, and support the smooth day-to-day operation of the Executive Office.

This role would suit someone who enjoys working in a busy and varied environment, can stay organised when priorities change, and takes pride in providing reliable, accurate and confidential support.

This is a permanent full time position based in our Sydney CBD Head Office. Please note that this position is an in-office role.

Key responsibilities

In this role, you will:

  • Provide professional administrative and executive support to the Secretary
  • Coordinate the Secretary’s diary, appointments, travel and logistical arrangements
  • Support meetings, conferences and organisational events, including scheduling, documentation, minute taking and follow-up actions
  • Prepare and manage correspondence, records, filing systems and other executive documentation
  • Act as a professional point of contact for the Executive Office, including liaising with members, councillors, staff and external stakeholders
  • Support the coordination of administrative processes, action items and executive expenses
  • Assist with organisational initiatives, projects and operational activities as required
  • Handle confidential and sensitive information with professionalism, discretion and sound judgement
  • Contribute to the efficient operation of the Executive Office and the broader objectives of the HSU

Skills and experience

The successful applicant will have:

  • Demonstrated experience in an administrative, executive support or office coordination role
  • Experience coordinating diaries, meetings, travel arrangements or similar administrative activities
  • Experience preparing correspondence, documentation, records or administrative materials
  • Demonstrated proficiency in Microsoft Office and contemporary office technologies
  • Strong written and verbal communication skills
  • Experience liaising with internal and external stakeholders in a professional environment
  • Experience supporting meetings, events or administrative processes

Location

This position is based at the HSU Head Office in Sydney CBD.

Remuneration

  • $98,022- $103,222 + 12.5% employer superannuation contributions
