This role is full-time, based in the Centre’s Melbourne Office.

About the role

The Human Rights Law Centre is seeking an Executive Assistant to the CEO. This is a new position for the Centre and as such you will have the opportunity to make the role your own, developing new systems and procedures in conjunction with the CEO and the Operations team. The position will be busy and varied, within a small, friendly, professional team and will be highly rewarding for an efficient, competent EA, looking to work for a driven and engaging CEO in a highly regarded human rights organisation.

Key responsibilities

  • Calendar management, including preparing schedules, agendas and briefing the CEO in advance of meetings
  • Providing confidential secretarial and administrative support, including preparation of papers, correspondence, strategic documentation, and other documents
  • Triage and proactively respond to incoming emails where appropriate, alerting the CEO to any high priority issues as they arise
  • Planning and coordination for key meetings including scheduling, agenda preparation and distribution, minute taking, room set up, meeting and greeting visitors as required.
  • Drafting correspondence on behalf of the CEO
  • Supporting Management Team staff with travel arrangements, events or meetings other projects that may arise in agreement with the CEO
  • Coordinating and contributing to CEO led engagements, events or projects, as directed
  • Administrative duties such as filing, coding invoices, reconciling CEO credit card statement, etc
  • Maintain the HRLC policy library, ensuring policies are current and accessible and managing the approval process for Board level policies

Key selection criteria

  • Experience working as an EA to the CEO in a busy environment
  • Outstanding time management and excellent attention to detail
  • Strong verbal and written communication skills
  • Advanced computer skills, high level of confidence with the Microsoft Office suite of products and an ability to learn new systems
  • Willingness to contribute to a work culture that reflects our human rights values
  • Experience working in a not-for-profit environment

  • The full-time annual salary for this role is $88,069 plus superannuation.

  • The position is an ongoing, full time position with a six month probation period.
