Established in 1992, Hear and Say is a world-leading expert in hearing, listening and spoken language therapy.

The core focus for our team of specialists is to work with families and other medical professionals to teach children with hearing loss to hear, listen and speak, through advanced audiology services, hearing technology and specialised Listening and Spoken Language Therapy using the Auditory-Verbal approach. We also use this expertise to support thousands of children and adults of all ages to reach their full potential – from Hear to Learn, our School Hearing Screening Program, through to supporting adults to access appropriate hearing technology and beyond.

Purpose of the role

The purpose of this position is to perform a wide variety of administrative functions to contribute to the best possible experience for our families and keep Hear and Say operating smoothly. This includes supporting general fundraising activities to generate income from a range of funding streams.

Key responsibilities

This role will be responsible for:

  • Establish, develop and contribute to administrative processes as part of the Business Support and Fundraising teams in order to provide timely and effective support to other business areas within Hear and Say.
  • Provide administrative and support services to various business areas within Hear and Say, including but not limited to, booking appointments, invoicing for services, following up on outstanding debtors, data entry, scanning, filing, photocopying, word processing, maintaining equipment.
  • Maintaining and updating manual and electronic databases and registers (eg donor records, fundraising and event registrations, Donman records, thank you register).
  • Be the ‘voice’ and ‘face’ of Hear and Say by greeting clients / visitors / supporters on the phone and at reception and directing them to the appropriate area within Hear and Say. Includes operating a telephone switchboard.
  • Opening, sorting and distributing incoming mail and arranging couriers.
  • Maintaining general tidiness of reception and common areas and any supplies replenished.
  • Welcoming and thank you calls to fundraisers/donors.
  • Posting out welcome and resource packs to fundraisers.
  • Event logistics including packing equipment, set up at event venue and pack down.

We invite you to apply if you have:

  • Experience with Genie software is preferred, but not essential.
  • Customer focused with ability to greet clients in a professional, friendly and respectful manner.
  • Strong interpersonal and communication skills.
  • Proficiency in Microsoft Office (including Outlook, Word, Excel and PowerPoint) and social media as well as comfortable in adopting new technologies.
  • Ability to work in a team environment and collaborate well.
  • Evidence of high level of organisational skills and demonstrated time management skills with a proven ability to prioritise tasks to meet competing deadlines with a high degree of accuracy and attention to detail.
  • Evidence of ability to think innovatively, be proactive and exercise judgement and decision-making within policy and procedural guidelines.
  • Regular availability as requested for attending events after business hours such as weeknights or on weekends.
  • Current drivers’ licence is essential.
