The Electorate Officer ensures the efficient and effective running of MLC-elect Sophie McNeill’s electorate office.
They are also the main point of contact for the public and manage any volunteers or interns. They also help manage all the members' social media.
The Electorate Officer liaises with constituents and manages the Member’s diary, travel and correspondence; organises and oversees events for the Member; manages and reports on the office budgets and allowances; posts to social media and the website; and provides human resources administration support for the office.
This role will be 0.6 FTE to Full Time depending on the skills of the person hired.
KEY WORK AREAS
Correspondence, Communication and Constituent Liaison
- Create and post content to the Member’s social media and website in line with strategic objectives and messaging guide
- Provide the main point of contact for people contacting the Member’s office
- Manage all correspondence and meeting requests in line with the strategic objectives of the office
- Prioritise issues requiring the Member's attention and discuss with the Member for review and follow-up action
- Liaise with Federal and State Government agencies and Parliamentary offices and forward information and questions appropriate to the Member and / or appropriate agency
- Provide secretarial support at meetings by preparing agendas, taking minutes and following up on any action plan that arises
- Help maintain productive working relationships with relevant advocates and NGOs that align with the strategic objectives of the office
- With the Research Officer, maintain a database of relevant stakeholders and upcoming issues and opportunities for the Members’ attention with recommended actions
Office Management and Executive Support
- Manage the Member’s diary, including arranging and preparing for meetings and events
- Oversee the operation of the Member's electorate office, including IT systems, contact databases, office supplies, equipment and maintenance
- Ensure that expenditure and reimbursement claims are appropriately collected and reported
- Undertake OH&S training obligations on behalf of the office
- Liaise with other MPs offices about diary, correspondence and other issues as required
- Provide administrative support as required
Other duties
- Attend meetings and public engagements with or on behalf of the Member
- Other duties as required.

Essential
- Highly organised with a proven ability to manage complex and detailed tasks in line with clear requirements and to deadlines, including:
- event management
- office administration; and
- budgeting and governance.
- Highly personable with excellent verbal and written communication skills.
- Demonstrated ability to rapidly assess situations and prioritise work in line with strategic objectives.
- Demonstrated ability to work independently and exercise initiative when dealing with difficult situations.
- Ability to engage with constituents, catering to situations as they arise and complex needs that may require assistance.
- Demonstrated ability to work effectively in teams, actively considering different perspectives.
Desirable
- Knowledge of Government and Parliamentary procedures.
- Knowledgeable, experienced and skilled at social media content creation and audience engagement.
- Dedicated to the work and values of the Greens and to supporting the Member with knowledge of, and connection to, the community, social justice and/or environment sectors in WA.
- Relevant tertiary qualifications.
