ABOUT THE ROLE

We are currently seeking a passionate and detail-oriented Membership Administrator to join our dedicated team and play a vital role in supporting our members and volunteers.

As the Membership Administrator, you will be the primary point of contact for our members and volunteers, ensuring the smooth functioning of our systems and maintaining accurate records. Your administrative expertise and customer service skills will be pivotal in handling membership inquiries, processing payments, and providing essential support within the organisation.

RESPONSIBILITIES

  • Act as first point of contact for membership enquiries
  • Review, maintain and continuously improve related processes, policies and tools that support the membership journey
  • Develop and improve policies, processes, and functionalities to deliver frontline expertise to members and volunteers
  • Provide high-quality, membership-related advice and administrative service to our members and volunteers
  • Develop and maintain associated tools and resources, such as user guides, training documents and fact sheets
  • Maintain a high level of knowledge of the membership database (iMIS)
  • Maintain the Membership Reporting SharePoint site, ensuring information is available when expected, organised according to user needs and administering access.
  • Apply organisational policies regarding diversity, equity and inclusivity to process, communications and customer service
  • Keep accurate records of members & volunteers on our iMIS database & comply with all good practice guidelines including data protection and security of financial data
  • Maintain an accurate and up-to-date organisational database ensuring member information is complete and accurately recorded
  • Maintain the annual processes and project plan, supporting in the development of requirements, system testing, and ongoing system support
  • Responding to incoming member enquiries via telephone and email in a timely and highly professional manner
  • Maintenance of our membership database
  • Contact point for all member and volunteer queries internally and externally
  • Administer insurance applications during the year for GGV properties
  • Preparation and distribution of membership invoices for renewals and payment processing
  • Ensure membership records are current, accurate and free of duplications.
  • Ensuring database templates are regularly updated
  • Actively contribute to the short, medium, and long-term departmental plans
  • Maintain an engaged, authoritative, and inspirational voice as an advocate for Girl Guides Victoria

PERSONAL ATTRIBUTES WE ARE LOOKING FOR

  • Related degree or diploma (i.e. Business, Administration, Information Technology) or equivalent work experience
  • Proficient in MS Office Suite and Office 365
  • Strong interpersonal skills and the ability to interact effectively with various stakeholders
  • High level organisational skills with strong written and verbal communication skills
  • Have the ability to effectively manage high workloads, meet deadlines within specific timeframes, accurately assess priorities and manage multiple tasks
  • Computer literacy with the ability to learn and operate database software
  • Ability to work well within a team while also being self-reliant
  • Be a quick learner and forward-looking thinker who actively seeks opportunities and proposes solutions to problems
  • Experience in a membership-based organisation or association desirable
