We are looking for someone to join our purpose-led high-growth scaleup and drive organisational efficiency, seamless project operations, and impactful collaboration as our Project Coordinator. In this role, you'll leverage your project management expertise and administrative skills to optimise workflows, foster effective communication, and contribute to executive-level decision-making. And the best part? You’ll have the opportunity to collaborate closely with some exceptional colleagues. Can you tell me about your team dynamic? Our team thrives on collaboration and communication. You'll work closely with the Executive Suite for regular updates on action items, ensuring alignment and progress. Additionally, you'll collaborate with the Senior Leadership Team to provide project updates and contribute to strategic planning initiatives. Externally, you'll engage with Project Managers during project initiation and maintain ongoing communication to ensure milestones are met. We also value seeking external advice when needed, whether it's for navigating complex Asana configurations, aligning strategic decision-making, or addressing confidentiality concerns. We’re looking for someone who:

  • Believes in Future Group’s mission and has a passion for moving Australia’s money out of fossil-fuels and into renewable energy
  • Believes in using the power of money to build a sustainable and equitable world
  • Has proven experience in project management and administration, with a strong track record of successfully coordinating and supporting projects from initiation to completion.
  • Possesses advanced proficiency in project management tools such as Asana, along with a solid understanding of organisational workflows and task tracking methodologies.
  • Demonstrates exceptional communication skills, both verbal and written, and thrives in environments where effective communication is key to project success.
  • Exhibits strong organisational skills, with the ability to manage multiple tasks and priorities simultaneously while maintaining a high level of accuracy and attention to detail.
  • Brings a collaborative and proactive mindset to the team, fostering an environment of teamwork, innovation, and continuous improvement.
  • Has at least 1 year of experience as a Project Coordinator, with a proven track record of effective project coordination.
  • Holds Agile certification, showcasing a strong understanding of Agile methodologies and principles.

Some nice-to-haves but are not essential are:

  • Previous experience in a similar role or industry, although not essential, would be advantageous.
  • Familiarity with other project management tools or software platforms, in addition to Asana, could provide additional value.
  • A background in stakeholder management or client-facing roles may complement the responsibilities of this position.
  • Experience with data analysis or reporting tools could enhance the ability to translate complex data into actionable insights for decision-making.
  • An interest in diversity, equity, and inclusion initiatives, while not mandatory, aligns with our organisational values and may contribute positively to team culture.

As the Project Coordinator you will:

  • Manage and maintain Asana boards to ensure organised workflows and up-to-date task tracking for various projects across the organisation.
  • Coordinate internal and external meetings, including scheduling, agenda creation, and minute-taking, to facilitate effective communication and collaboration among project stakeholders.
  • Provide administrative support for project-related tasks, including document preparation, data entry, and resource allocation, to ensure smooth project operations.
  • Track project progress and provide regular updates on project statuses to stakeholders, identifying potential risks or issues and implementing mitigation strategies as needed.
  • Contribute to the development of executive-level reports and presentations, translating complex data into actionable insights for senior leadership decision-making.
  • Train and support team members in the use of Asana and other project management tools, ensuring efficient utilisation and alignment with organisational standards and best practices.
  • Collaborate with Project Managers and other stakeholders during project initiation and planning phases, assisting with task allocation, timeline development, and resource planning to set projects up for success from the outset.
