OVERVIEW
The Assembly’s objective is to promote the self-determination and empowerment of Traditional Owners and Aboriginal Victorians through the Treaty process by:
- Acting as the First Peoples’ Representative Body to negotiate and agree Statewide Treaty and Interim Agreements,
- Acting as the Aboriginal Representative Body to support Treaty negotiations (including administering the Self-Determination Fund),
- Enabling Traditional Owners and Aboriginal Victorians to exercise sovereignty, the right to self-determination and other rights; including those contained in the United Nations Declaration on the Rights of Indigenous Peoples (UNDRIP).
Role/Team Function
This role is responsible for providing high-quality secretarial and administrative support to the CEO, managing their diary, and exercising judgment to quickly identify emerging issues to deliver the Assembly’s priorities. In addition to core EA responsibilities, this role provides strategic advisory support, offering insights, research, and analysis to inform executive decision-making and ensure alignment with organisational goals.
The role also requires an ability to build strong relationships with internal and external stakeholders, provide governance support, and uphold the principles of Self-Determination while maintaining cultural responsiveness in all aspects of work. As needed, this position will step in to support the role of Executive Assistant and/or Strategic Advisor to the Co-Chairs in their absence.
Responsibilities
Executive Support & Diary Management
- Provide high-quality secretarial and administrative support to the CEO, ensuring seamless daily operations.
- Manage and coordinate a complex and dynamic calendar, balancing competing priorities and urgent requests.
- Proactively anticipate scheduling conflicts and provide solutions to maximise efficiency.
- Oversee travel arrangements, logistics, and briefing materials to support CEO engagements.
Strategic Advisory & Decision Support:
- Identify and analyse emerging issues that may impact the Assembly’s priorities, providing timely advice and recommendations.
- Conduct research and prepare strategic briefings to support the CEO’s decision-making.
- Assist in tracking organisational objectives, ensuring alignment with strategic goals.
- Provide insights on policy, governance, and operational matters to enhance executive leadership effectiveness.
Stakeholder & Relationship Management:
- Act as a key liaison between the CEO and internal/external stakeholders, ensuring clear and effective communication.
- Prepare correspondence, reports, and presentations for high-level meetings.
- Build strong relationships across the organisation to facilitate collaboration and problem-solving.
Governance, Reporting & Compliance:
- Support governance processes by preparing reports, meeting agendas, and minutes for key leadership meetings.
- Ensure follow-up actions from meetings are tracked and completed.
- Maintain discretion and confidentiality in handling sensitive information.
Project & Operational Support:
- Oversee and coordinate special projects as directed by the CEO, ensuring timely delivery.
- Identify opportunities to improve operational processes and executive efficiency.
- Assist in change management initiatives, supporting the CEO in implementing organisational improvements.
Qualifications & Experience
- Strong experience working with the Aboriginal communities of Victoria, with sound working knowledge of Aboriginal Community Controlled Organisations, Traditional Owner groups, legislative and regulatory regimes, Aboriginal histories and leaders, democratic processes, machinery of government and the Victorian Public Service.
- Demonstrated skill and capacity to work effectively and with integrity in the context of a Victorian First Peoples’ Representative Body.
- Experience in policy, research, advocacy, writing, and provision of strategic advice.
- Previous experience in the provision high-level executive support within a Community Services Organisation or Professional Services environment highly regarded.
