THE OPPORTUNITY

Providing operational support to the Indigenous Australia Program Team, the Business Support Officer is accountable for general office, financial & Program administration functions. The position is the coordination point between the global business operations team and the local country team. It is also the first point of contact for internal and external guests, visitors and enquiries to the office and Program.

KEY RESPONSIBILITIES

Office Support:

  • Purchase and coordinate office supplies including first aid kit, IT equipment, stationery, furnishings etc.
  • Act as liaison with global Business Services team for local office and team requirements.
  • Maintain office Key Register, Merchandise Register, Mail and Freight and Uniform Register

Travel & Security Coordination:

  • Provide security briefing and ensure the security manual remains up to date.
  • Coordinate group logistics, travel and accommodation for country team, visitors and meetings including, but not limited to, visas, medical and other travel documents for travelers leaving or entering the country.
  • Ensure incident reports are completed and submitted in a timely manner.

Administrative Support:

  • Oversee Coordination of procurement functions to ensure appropriate suppliers and vendors successfully fulfill the needs of FHF and partners through the provision of goods and services in line with FHF standards of governance.
  • Liaise with and assist the global IT service desk to fulfil local IT support needs for the office and staff.
  • Coordinate internal Program Events Planning for IAP Meetings/Workshops/Events/Catering etc.
  • Manage the operations manual to ensure accuracy and relevance.
  • Assist staff with travel arrangements, including car hire, cab fares, flights, and accommodation bookings.

Finance Administration:

  • Prepare and process requisitions for the country team in iPOS
  • Work with global finance team to ensure timely payment of invoices.
  • Process purchase orders
  • Maintain and update Program yearly Budget Booklet
  • Maintain and update Accrual and Forecast excel record

Relationship Management:

  • Foster positive relationships with staff, volunteers, visitors, and providers to support the smooth and efficient operation of the country team.

WHAT YOU’LL NEED TO SUCCEED

  • Providing administrative support and managing an office and remote team members
  • Working with the Microsoft office suite including Outlook calendar management.
  • Use of publishing platforms
  • Working as part of a team
  • Purchasing, general accounts and finance
