  • Part time 30.4 hours per week - 4 days.
  • Hybrid work arrangement with minimum 50% of days on site. Tuesday and Wednesday preferable on site.

We're seeking a Manager Operations to lead the engine room of our organisation, providing strong, stable support to our programs and the dedicated teams that deliver them. Eating disorders are complex and debilitating mental illnesses that affect up to 1 in 20 people. Like any mental illness, they are not the fault of the individual and can affect anyone no matter their age, gender or background. While serious, eating disorders are treatable. With the right support, full recovery is possible for everyone.

Eating Disorders Victoria (EDV) is the trusted guide for Victorians affected by eating disorders. We help people get the support they need to inspire hope and ensure the earliest possible recovery. Eating Disorders Victoria is an incorporated association and registered charity with the Australian Tax Office and the Australian Charities and Not for Profit Commission (ACNC).

We are moving through an exciting time of reform in Victoria’s Mental Health System, and have every intention of ensuring eating disorders are fully supported in this new system. ROLE STATEMENT

This role collaborates closely with EDV executives and managers to ensure the Operations priorities align with organisational goals. It is responsible for overseeing Operations and Human Resources to ensure the smooth and efficient operation of EDV’s Programs.

Proactively addressing risks and issues are essential elements of the role. A key focus is overseeing policies and processes and ensuring compliance with relevant regulations and awards. Effectively managing relationships with external stakeholders and service providers is vital to enhance service delivery and mitigate risks.

The manager also leads the Operations Support Officer providing guidance, support, and oversight, to ensure they effectively perform in their role.

EDV has a commitment to supporting the Lived Experience Workforce through the EDV Wellbeing Framework. Candidates who have lived experience of an eating disorder or who have lived experience of caring for a person with an eating disorder must align with the definitions as detailed in the attached Position Description.

KEY ROLE RESPONSIBILITIES

Strategy

  • Collaborate with the leadership team to develop and implement Operations initiatives that support the organisational strategy

IT Support

  • Engage and manage IT service providers to ensure technology solutions align with objectives (hardware and software installations, technical support)
  • Implement and maintain cybersecurity policies and processes to minimise risk and promote a secure work environment
  • Manage the setup, maintenance, and inventory of IT equipment, support the utilisation of the Microsoft suite of applications
  • Develop and maintain IT policy documentation and user guides.

Premises

  • Ensure the office environment is well maintained, safe and conducive to productivity
  • Manage relationships with building and landlord stakeholders and external contractors ensuring EDV’s needs are represented
  • Coordinate office refurbishments, relocations and ongoing maintenance

Occupational Health & Safety (OHS)

  • Ensure compliance with OH&S regulations overseeing the implementation and monitoring of OH&S policies and procedures.

Human Resources

  • Manage HR systems and ensuring accurate documentation and records
  • Provide consultation and advice across people-related matters
  • Develop and implement HR policies and processes ensuring compliance with relevant regulations and awards
  • Support the recruitment of staff including advice on sourcing, selection and onboarding.

Salesforce

  • Facilitate and oversee external Salesforce support to maximise effective utilisation across all programs and services
  • Manage and support relationship with external Salesforce contractor

Stakeholders

  • Foster strong relationships with internal and external stakeholders through effective communication and collaboration.
  • Proactively facilitate discussions and address issues to ensure alignment with organisational goals.

Leadership

  • Lead and supervise the Operations Officer setting clear performance expectations, offering coaching and feedback, and fostering development.

Other

  • Under the direction of Director Programs and Operations, contribute to various initiatives across the organisation.
  • Provide information and reporting in line with Board and Department requirements

KEY SELECTION CRITERIA

Essential:

  • Qualifications in HR, Business Administration or related field, or equivalent experience
  • Experience working in a broad operations role, overseeing a range of functions
  • Ability to develop and implement HR and operational initiatives that align with organisational goals
  • Proven ability to develop and manage operational processes
  • Understanding of Salesforce or other Client Management System with foundational skills in navigating both the user interface and backend functionalities
  • Experience in data analysis and reporting
  • Proficient in the operation and troubleshooting of office technology and IT infrastructure
  • A foundational understanding of cybersecurity principles, with experience in recognising potential security threats and implementing protective measures
  • Proven ability to bring people together to accomplish shared objectives
  • Strong verbal and written communication skills and ability to interact with stakeholders at all levels
  • Strong analytical and problem-solving skills, with a proven ability to make informed decisions, resolve challenges, and drive process improvements
  • Experience in managing budgets and resources effectively
  • Strong Microsoft Office skills and knowledge of products including SharePoint, Outlook, Word, Excel

Desirable:

  • Experience in human resources management, including recruitment, performance management, employee relations, HR policy and compliance with employment laws.
  • Proficiency in HRIS and other relevant software tools
  • Experience in a not-for-profit organisation
  • Experience working in the mental health or social services sector
  • An understanding of eating disorders, body image and related issues, and their impact on individuals, families and carers

Employment conditions

Location: This position will be based at the EDV office on Level 2 of the Magpies Community Centre (corner Lulie and Abbot Streets, Abbotsford). 

Normal working hours will be between Monday to Friday, 8:30am to 5pm.

Subject to satisfactory Working with Children Check, National Police Check and completion of Conflict-of-Interest Declaration. 

Probationary period will apply (6-months).
