This role plays a crucial role in maintaining Eat Up's financial integrity and efficiency. This position is responsible for managing various aspects of accounts payable, accounts receivable, receipt management, and general financial administration.

Purpose of Position

To ensure financial transactions are accurately recorded, reconciliations are completed, and receipts and invoices are created and shared, as required, on time.

ABOUT EAT UP

Eat Up is the first Australian not-for-profit to provide lunches to hungry students nationally. Volunteers and donations are key to Eat Up's growth, helping Eat Up to grow from supporting 20 regional Victorian schools in 2014, to now reaching over 4 million lunches to 1,000+ schools in NSW, NT, QLD, VIC and WA.

By providing nourishment to disadvantaged students at school, Eat Up aims to improve their engagement in the classroom so they can better take advantage of learning opportunities, succeed in education, and ultimately, have a brighter future.

Eat Up engages with thousands of volunteers to prepare the 25,000+ sandwiches it delivers each week. This provides a valuable opportunity for community organisations, regional groups, workplaces, school students, and individuals to contribute in a direct and meaningful way to end hunger in schools.

Prepared sandwiches are delivered by Eat Up to over 1,000+ schools, along with healthy snacks. Schools then freeze the sandwiches and toast them daily as needed.

KEY RESPONSIBILITIES

  • Accounts Receivable
    • Generate and issue invoices for donations received (when manual invoices and receipting are required), ensuring accurate recording and tracking.
    • Manage and reconcile accounts receivable, ensuring accuracy and timely collection. This includes donations, payments, grants, and fundraising revenue.
    • Manage the amortisation of grant funding, ensuring accurate and timely recognition of revenue over the grant period.
  • Accounts Payable

    Process accounts payable, including:

    • Review and process supplier forms.
    • Manage and process purchase order forms.
    • Ensure accurate and timely payment of supplier invoices.
  • General Financial Administration
    • Accurately record financial transactions in Xero.
    • Process journal entries.
    • Maintain accurate and organised financial records.
    • Assist with month-end and year-end closing processes.
    • Contribute to the development and improvement of financial processes and procedures.
    • Assist with other financial and/or operational tasks as required.
    • Liaise with auditors, banks, suppliers, and other stakeholders as required.

SELECTION CRITERIA

  • Proven experience as a Finance Officer/Bookkeeper in a not-for-profit or charity setting (preferred).
  • Experience with financial reporting, budgeting, and reconciliation processes.
  • High attention to detail and ability to manage multiple financial tasks efficiently.
  • Excellent communication skills and ability to work collaboratively in a small team.
  • Ability to maintain confidentiality and integrity when handling financial information.
  • Strong proficiency in Xero and experience in Salesforce (or other CRM systems).
  • Diploma or Degree in Accounting, Finance, or Bookkeeping (or equivalent experience).
