ABOUT THE ROLE
The Property and Tenancy Officer provides administrative and operational support for the activities of Property Management (including Concierge) and Tenancy Management at Brisbane Common Ground.

- Prior experience in the Community Housing or Real Estate sector, particularly in tenancy and property management functions, is highly desirable.
- Sound understanding of the Residential Tenancies and Rooming Accommodation Act 2008.
- Demonstrated administrative skills, including a high level of data accuracy and strong attention to detail.
- Excellent interpersonal and communication skills, both verbal and written.
- Experience with Console cloud or similar Tenancy Management System or a similar program.
- Advanced with Microsoft suite and SharePoint experience.
- Attention to detail demonstrated coordination and scheduling experience.

KEY RESPONSIBILITIES
Administration Support:
- Maintain property and tenancy admin systems for efficient data handling.
- Maintain property and tenancy work instructions.
- Manage office supplies restocking.
- Create weekly accounts payable spreadsheet for invoices.
- Monthly credit card statement reconciliation for the Operations team.
Operations & Concierge Support:
- Coordinate repairs and maintenance, for tenancies and the building.
- Liaise with internal staff and maintenance contractors to schedule repairs and maintenance.
- Assist with utility meter readings, pest control, and tenant communications.
- Update and monitor asset management, including audits and procurement.
- Support concierge staff by facilitation of communications between Concierge, Operations, and Tenancy Management staff and maintain log accuracy.
- Ensure compliance with procedures and incident reporting.
- Compile monthly reports and provide backup for the Operations Manager.
Rental and Tenancy Management Support:
- Support the Tenancy Manager with inspections, notices, and reports.
- Manage vacancy advertising, applications, and tenant records.
- Record minutes at weekly Tenancy Coordination Meetings.
- Assist tenants with Wi-Fi access and IT concerns.
SELECTION CRITERIA
Essential:
- High degree of initiative and able to work well in a team
- Knowledge of administrative, resource and operational support
- Excellent interpersonal and communication skills (verbal and written)
- Developed organisational and problem solving skills
- Ability to work both unsupervised and in a team
- Confidence and skill in working with information technology systems
- Knowledge of Microsoft software and experience in working with computerised data management and record systems
- Consistently delivers high-quality work and is competent in all elements of the position
Desirable:
- Studies and/or equivalent work experience in business administration at a certificate level or higher.
