We are looking for someone who knows how to handle multitasking with efficiency, who values working in a small team, and who is passionate about investing in Common Grace to be a well organised movement. The Finance and Administration Officer is to conduct all bookkeeping tasks to ensure the smooth and efficient processing and reporting of Common Grace’s finances, and to help support the Fundraising team deliver quality supporter care to Common Grace’s donors and partners. The Finance and Administration Officer also provides administration to assist with the business operations of Common Grace; including assisting with risk management, WHS, internal reporting, auditing and governance, event coordination, and documenting procedures.

Key Responsibilities

Finance

  • Recording transactions such as income and expenses, and reconciling them to the chart of accounts and bank statements.
  • Paying vendor invoices and tracking bank account balances.
  • Invoicing and receipting vendors and donors.
  • Producing various financial reports.
  • Preparing various financial statements showing business income and expenditure.
  • Prepare and maintain all payroll including documentation, processing, and payment.
  • Managing employee expense claims.
  • Conducting daily banking activities.
  • Perform role of Bank administrator managing relationship with Bank.
  • Managing the preparation and payment of insurances, BAS, and superannuation.

Administration

  • Exporting bank transactions and uploading into Common Grace’s CRM
  • Managing the quarterly superannuation and ATO reporting
  • Managing business supplier accounts and updating suppliers of any changes to core business information.
  • Assist in documenting financial processes, procedures, and policies to support the growth of the organisation.
  • Manage the administration of Common Grace’s technology, including Google Account.
  • Providing database support, such as to assist with data cleansing, creating new supporter records, and reconciling the revenue recorded in the database with the bank statements.
  • Where requested, support the Common Grace team in setting up internal meetings and taking minutes.
  • Purchasing office equipment, and managing equipment register.
  • Support the team with event coordination.
  • Be the key point of conduct for Workplace Health and Safety issues, including managing the WHS register.

Essential Criteria

  • Excellent self-organisation and time-management, with an ability to manage multiple deadline driven tasks
  • Self-motivated to complete tasks in a timely manner
  • Excellent attention to detail
  • Proven ability to work well in a team environment
  • Demonstrated integrity and ability to work with personal and sensitive information.
  • Ability to work remotely, with minimal supervision
  • Excellent data-entry skills
  • Experience as a bookkeeper
  • Understanding of financial reporting requirements
  • Identify as a Christian or follower of Jesus
  • Support the vision of Common Grace in pursuing Jesus and justice

Desirable Skills/Experience

  • Certificate in Bookkeeping or Degree in Finance or related area of study
  • Experience in WHS
  • Experience using accounting software e.g. XERO
  • Experience using a customer relationship database, like NationBuilder
  • Good with technology
  • Ability to solve problems, ideally IT related issues.
  • Experience using Excel
  • Ability to turn work processes into written procedural documentation
