The Climate Council of Australia is Australia’s leading climate change communications organisation. We provide authoritative, expert advice to the Australian public and key decision-makers on climate change and solutions based on the most up-to-date science available. Climate Council was founded in 2013 by thousands of Australians to create a new, independent and 100% community-funded organisation in response to the abolition of the Australian Climate Commission.
Our vision is that by 2025 Australia’s emissions are on a steep downward trajectory with projects and policies in place to see us cut emissions by 75% by 2030 and achieve net zero by 2035. This represents a transformation in action and attitude from all levels of government, industry, business and community. About the Role
The C-suite Executive Assistant will provide high-level executive support to the CEO and C-suite members: including administrative support for our Head of Advocacy, and occasionally supporting the Chief Operating Officer (COO) and Head of Strategic Communications. They may, at certain times, provide administrative assistance to additional members of the executive team.
Reporting directly to the CEO, the C-suite Executive Assistant provides executive support in a one-on-one working relationship. The Executive Assistant also serves as a liaison to the Board of Directors and Leadership Team; communicates with team members and external stakeholders to facilitate the effective engagement of the C-Suite in Climate Council activities; organises and coordinates executive outreach and external relations efforts; and oversees special projects.

Key Responsibilities
The key responsibilities of the C-Suite Executive Assistant include:
For the CEO and the C-Suite:
- Assist the C-Suite in managing sensitive matters with a high level of confidentiality and discretion.
- Organise complex calendars and schedules; resolving any scheduling issues
- Assist in preparing and managing presentations, agendas, reports, special projects and other documents.
- Draft and prepare correspondence for internal announcements, board meetings, and organisations that the C-suite is involved with
- Arrange travel and accommodations. Prepare expense reports.
- Build and maintain authentic relationships with a diverse range of Climate Council stakeholders.
- Establish, coordinate, and maintain effective filing systems.
- Prepare documents, agendas and take minutes for internal and external stakeholder meetings including Board meetings, strategy meetings, Leadership Team meetings and Team meetings.
For the CEO only:
- Bring priority matters to the attention of the CEO to ensure they are actioned efficiently.
- Manage the CEO’s diary, including coordination of meetings and travel arrangements
- Sort and prioritise the CEO’s inbox, and draft high-level correspondence that fits the CEO’s communication tone and style.
- Triage incoming phone calls, including from donors and supporters, and requests such as speaking opportunities or events.
- Prepare materials that enable the CEO to participate effectively in meetings and present at events (e.g. briefing notes, speeches, presentations).
- Complete ad hoc projects as assigned.
Experience, Skills and Qualifications
- 5+ years of related experience required in working in an executive assistant role supporting C-Level executives.
- Bachelor's degree or equivalent experience
- Prioritisation - has a strong sense of urgency and can decipher priorities and make sound judgment calls when needed.
- Commitment to excellence and continuous improvement - perform duties at the highest level possible on a consistent basis.
- Excellent interpersonal skills with the ability to build and maintain authentic relationships with people of all levels in a confident, professional and authentic manner - both in both verbal and written communications.
- Demonstrate ability and temperament to work with sensitive information, use discretion, confidentiality, and good judgment to handle C-Level matters.
- Service focus - dedicated to meeting the expectations of the CEO, C-Suite and other stakeholders by maintaining effective relationships with interested parties.
- Strong resourcefulness and adaptability, ability to work fast and flexibility (possibly outside of business hours) under changing priorities in a high-paced environment
- Experience supporting relationships with partner organisations and/or donors will be considered favourably.
- High level written and verbal and communication skills.
- Highly developed time management, planning and organisational skills with the ability to multitask and prioritise to meet deadlines.
- Confident troubleshooting and problem-solving; ability to make decisions when needed, with a solutions mindset.
- Proactive and able to work with minimal supervision.
- Commitment to record keeping in all aspects of assigned work.
- Excellent attention to detail.
- Advanced use and knowledge of the Google Workspace.
Remuneration and Benefits

- Full-Time, permanent role
- $78-$85K annual salary (plus super)
