About the Role...

The newly built Grenville Hub is a vibrant community centre for older people that offers a range of programs and day to day activities, from arts and crafts through to dancing! The environment is vibrant and entertaining, and more importantly, one where our visitors find connection and engagement. Each day is also filled with smiles and lots of laughter!

We have an exciting new opportunity available for an experienced administrator to join the Grenville team who is passionate about supporting and working for our community. This position will play an important role in supporting the efficient and effective administrative operations of the Grenville Hub for older people.

Key Accountabilities:

  • Provide effective administration support to the Manager Community Inclusion and Quality Coordinator - Grenville Hub.
  • Monitor, administer and reconcile daily banking and monthly corporate credit cards.
  • Prepare and administer invoices, journals and purchase orders as required.
  • Extract relevant information and data as required for financial and statistical reporting purposes.
  • Input, monitor and maintain all required information and data in council systems to meet relevant standards and organisational requirements.
  • Maintain the team SharePoint site and upload content to the team web pages as required.
  • Coordinate Maintenance requests and be the first point of contact for internal and external contractors to the Hub.
  • Support Grenville Hub room hire bookings and scheduling, including (but not limited to):
    • Taking enquiries and preparing quotations;
    • Ensuring the availability of equipment as required (Laptops, projectors; microphone, lecterns, display boards);
    • Providing induction into the building for hirers; and
    • Ensuring rooms are maintained at all times.

About You...

If you're an effective communicator who loves engaging with people and can demonstrate a high level of administration experience, initiative, forward planning and time management skills, then we want to hear from you! In addition, we're looking for someone with;

  • Demonstrated high level business administration/office management experience;
  • Sound knowledge of financial administration, including budget systems and programs, generating invoices and financial administration;
  • Sound Computer competency skills including demonstrated experience with the Microsoft suite of packages (Outlook, Word, Excel, SharePoint, Publisher);
  • Experience using Care Manager or other similar database systems to input and extract information and statistical data;
  • Demonstrated high level interpersonal and communication skills, both written and verbal; and
  • The ability to act with discretion and deal effectively with sensitive and confidential matters.

Incumbents in this position may be required to possess, or be willing to gain a National Criminal History Clearance and relevant DCSI Clearance(s).
