about the role

The Receptionist is the first point of contact for clients, contractors, and visitors to Circle Green. You will provide comprehensive front of house and phone intake support, ensuring our clients and their families feel valued from their very first interaction, as well as undertake general administrative duties.

Working as part of the Corporate Support team and reporting to the Corporate Services Manager, you will work closely with the three legal streams to support client focused service delivery. Given the high volume of calls received, you will also provide training and co-ordinate a small pool of volunteers to answer calls and support the intake process.

Responsibilities of the role include:

  • Meet and greet clients, visitors and provide exceptional customer service.
  • Maintain a tidy reception area and oversee meeting room bookings and enquiries.
  • Ensure incoming phone calls are attended to in a prompt and courteous manner.
  • Open and close down reception area each day.
  • Provide phone support for each of the three legal streams.
  • In conjunction with the legal stream, develop and maintain procedures to support volunteers to undertake intake process.
  • Maintain strong relationships with each service area to support client experience.
  • Onboard and train volunteers to provide phone support and intake (when required).
  • Escalate calls/ enquiries when required.
  • Other reception and administrative duties as required.

ABOUT YOU

We are seeking an individual who has strong customer service skills and experience in an administrative/ reception role within a similar environment.

The suitable candidate will have:

  • Demonstrated experience with using Microsoft Office Suites and ideally, experience in using a client management database.
  • Excellent organisational and time management skills.
  • Ability to work independently with limited supervision.
  • Exceptional interpersonal skills with the ability to work with a broad range of people from a variety of backgrounds and experiences.
  • Advance computer skills including word processing, spreadsheets, and database applications.
  • Experience or interest in the legal services sector.
  • Demonstrated commitment to human rights and social justice issues.
