Description: 

As the first point of contact, this position will provide courteous and effective administrative and operational support to all clients and staff. The role will encompass reception, general clerical, data entry, filing, photocopying and administrative duties as required.

Key Selection Criteria:

  • Demonstrated understanding and commitment to Aboriginal health, local Aboriginal culture, and the philosophy and practice of Aboriginal Community Control health service.
  • Demonstrated ability to work with Aboriginal organisations, communities and individuals in culturally appropriate ways 
  • Demonstrated understanding of the diverse health and social needs of Aboriginal people
  • Well-developed interpersonal skills, including a friendly and professional approach and an ability to deal with a broad range of people at all levels.
  • Sound written verbal and communication skills
  • Demonstrated organisational and time management skills, including an ability to prioritise, manage multiple tasks, work to deadlines, manage interruptions and adapt to changing priorities
  • Demonstrated capacity to manage sensitive information, maintain confidentiality and remain impartial at all times. 
  • Self-motivated and demonstrated ability of working independently with minimal supervision, and as an effective team member, promoting cooperation and commitment to achieve goals.
  • Demonstrated proficiency and experience using Microsoft applications (e.g. Microsoft Word, Excel, Outlook) combined with a high level of accuracy and attention to detail.

Duties include (please see position description for full details):

  • Monitoring and managing patient flow /wait times 
  • Opening and screening mail, recording onto log and distributing to staff
  • Actively participate in a working environment which supports employment equity, anti-discrimination, occupational health and safety and ethical behaviour
  • Ensure that a high standard of hygiene and cleanliness is maintained in the reception and waiting areas of CHADAC.
  • Participate in quality improvement activities.
  • Attend and participate in professional development as required
  • Record, send, organise and distributing incoming faxes, mail and inbox
  • Organise / manage couriers and notify staff of delivery
  • Maintain staff telephone listing with revised details and distribute accordingly
  • Contribute and work collaboratively as a team member by assisting and supporting the organisation to meet objectives.
  • Provide efficient, effective and confidential administration support services for CHADAC which includes:
    • Adhere to practices to achieve high booking and attendance rates
    • Coordinate and maintain the appointment calendar
    • Prepare daily appointments by providing the client files and relevant materials available to clinic health professionals and visiting health professionals
    • Process daily correspondence, including incoming and outgoing mail and faxes.
    • Maintain accuracy of client files within the Communicare patient information system
    • Attend to phone calls and queries in a prompt, courteous and professional manner
    • Coordinate changes and follow up appointments.
