PURPOSE

The purpose of the Office Manager is to manage and coordinate office administration operations and procedures, including overseeing office maintenance, finance administration, Reception, purchasing and supplies, day-to-day IT support and administrating the provision of basic Human Resources services.

RESPONSIBILITIES

  • Managing and supervising all the administrative activities that facilitate the smooth running of the office, including IT support, office equipment and materials, and purchasing of supplies;
  • Providing finance administration support to the CFO including payroll, invoicing, staff expenses and accounts receivable/payable;
  • Managing internal events including staff events, training events, volunteer events;
  • Basic human resources administration, such as recruitment administration and onboarding new staff, time sheet and leave processing, and managing WH&S compliance;
  • Undertake and continue to maintain First Aid certification and manage workplace first aid requirements;
  • Supporting internal communications including Zoom and Teams and information sharing;
  • Managing incoming phone calls to The Centre, responding to enquiries and redirecting as necessary;
  • Providing secretariat support to the Board and committees;
  • Overseeing reporting and compliance;
  • Supervising The Centre’s volunteers; and
  • Providing Administrative support to the CEO and Deputy CEO.

QUALIFICATIONS

  • Tertiary studies in Business Administration or similar discipline, and/or relevant experience.

SKILLS, QUALITIES AND EXPERIENCE

  • Strong managerial, organisational, and administrative skills;
  • Highly developed written communication skills;
  • Exceptional communication and people skills;
  • Advanced in The Microsoft Suite, including word, excel, Dynamics 365;
  • Experience with Conferencing systems Zoom and Teams;
  • Intermediate to advance in MYOB and/or Freshbooks (or similar software);
  • Ability to work as part of a team; and
  • Attention to detail and high level of accuracy.

This is a full-time role with flexibility to work from home on Mondays and Fridays where possible.
