About the team

The Cancer Prevention and Advocacy Division leads the organisation’s work in health promotion and cancer prevention helping Australians make well informed choices to decrease their risk of cancer; and to create a supportive environment where healthy choices are easier choices.

Smoking remains the leading cause of preventable death and disease in Australia and there are vast differences in smoking rates among different groups in our community. The Tobacco Control Unit works to reduce disparities in smoking prevalence between disadvantaged populations and the general population; reduce exposure to second-hand smoke; and control the supply of tobacco products, other nicotine delivery devices and any products that influence smoking.

About the role:

The Tobacco Control Administrator is primarily responsible for providing high quality administrative and office support to the Tobacco Control Unit to ensure effective and efficient operations for the multiple projects and programs across the unit, including Australia’s first and largest vaping research project, ‘Generation Vape’.

This is a fantastic opportunity for an entry-level public health or administrative professional to gain experience working in a high performing team on national tobacco and vaping control projects.

This role is a part-time 12-month contract. The successful candidate will be required to work 3 or 4 days per week, with flexibility available if needed.

Key responsibilities of the role:

  • Coordinate and assist with logistics and administrative support for project meetings, events, and workshops as required; including agenda preparation, minutes, venue hire and catering.
  • Respond to telephone enquiries and correspondence from the general public in regards to projects, programs and general tobacco control areas.
  • Provide administrative support for projects and contract management for the Tobacco Control Unit as needed.
  • Provide administrative support to the Tobacco Control Unit including word processing, document preparation, PowerPoint presentations, use of Canva and Campaign Monitor, spreadsheet and database maintenance.
  • Attend project meetings as required to take minutes, follow up on actions and assign ownership.
  • Manage the financial and legal processes including payment of accounts for the Tobacco Control Unit.
  • Carry out a range of other administrative duties to support the unit as required.
  • Any other duties that may be required to meet the needs of the organisation.

About you

Essential:

  • Demonstrated relevant experience working in a similar role.
  • Effective communication skills (both written and oral) to support interactions with internal and external stakeholders.
  • Ability to compile information and reports as needed to support decision making.
  • Ability to take initiative, problem solve and adapt priorities.
  • Excellent attention to detail and organisational skills.
  • Ability to manage conflicting priorities and meet strict deadlines.
  • Ability to present information in a clear and concise format.
  • Demonstrated success in using the MS Office Suite (including SharePoint).
  • Ability to work autonomously and without supervision.
  • Enthusiastic and highly motivated team player with a focus on action and implementation.
  • Ability to work with dispersed teams via email, video conference and phone, in addition to face-to-face interactions.

Desirable:

  • Tertiary qualifications in public health or similar (or working towards higher education)
