About the role

This role will be part time, 3 days per week, on a maximum term contract for 12 months. The role’s preferred days are Monday, Tuesday and Wednesday.

The HR Systems Coordinator role supports the end-to-end processes of the employee life cycle across the organisation through coordination and maintenance of all workforce-related activities, providing administration and technical support. The role furthermore ensures the maintenance of HR related systems, manages relevant administration tasks and assists in ensuring data integrity.

Key responsibilities of the role

  • Oversee the management, maintenance, and optimisation of HR related software and systems.
  • Ensure the accuracy, integrity, and security of employee data within HR systems, including regular audits and system updates.
  • Supporting the People Lead, Capability, Learning & Development, in managing the end-to-end program experience of training events, including the coordination of orientation training.
  • Facilitating the induction and orientation processes, including meeting (virtually or face to face) new employees and volunteers to ensure they are informed on organisational policies, procedures and systems.
  • Managing administration tasks including processing invoices, ordering catering for specified events, coordinating workshops or training sessions and facilitating invitations or setups.
  • Provide end-user support for HR systems, including troubleshooting issues and delivering training including assisting stakeholders with adhoc reports related to employee information
  • Identify opportunities for process enhancements and system upgrades to streamline HR operations. and improve user experience.
  • Assist with testing and implementing new system features, updates, and integrations to ensure effective deployment and functionality.
  • Support compliance with HR-related laws and regulations by ensuring systems are configured to meet legal and regulatory requirements, guided by the People Experience Partner.
  • Maintain and update HR system documentation, including process flows, user guides, and training materials.
  • Assist in HR systems-related projects, ensuring projects are completed on time and within scope.
  • Work in partnership with the People Experience Coordinators to assist with the recruitment process for employees to ensure a positive candidate experience including screening candidates and issuing contracts.
  • Monitor and support managers with the compliance and auditing processes for employees not limited to; mandatory e-learning and development courses, immigration & Modern Award requirements, recruitment-related checks, as well as keeping up to date with legislative employment and training requirements.
  • Provide support for end-to-end coordination of internal programs and processes including assisting with any development, delivery and evaluation e.g. recognition programs, learning and development programs, performance and development cycle activities, engagement surveys, annual remuneration review
  • Lead in all aspects of the recruitment cycle
  • In partnership with the internal payroll team, provide support for the accuracy of the fortnightly payroll and ensure documentation is submitted in a timely manner.
  • Manage the collation and reporting of the information including exit interview processes and references.
  • Continuously improve, maintain and coordinate HR resources including forms and templates in a proactive manner, coordinating with team members as required.
  • Provide Learning Management System (LMS), workforce recruitment systems and support training, uploading content and running of the system.
  • Supporting with destruction of employee files as per the Privacy Act and Data & Retention Policy/Schedule.

About you

Essential:

  • Tertiary qualifications, such as business and/ or human resources or equivalent demonstrated relevant experience. Previous experience in a Human Resources Coordinator or similar HR role.
  • Strong understanding of, and ability to apply, Modern Awards and Industrial Relations legislation.
  • Experience in using a range of learning solutions, including e-learning, and learning management systems, preferably Employment Hero, CultureAmp and Go1.
  • Experience with recruitment.
  • Exceptional verbal and written communication skills, with demonstrated experience preparing HR correspondence, as well as presenting to an audience.
  • Demonstrated ability to identify and develop ongoing relationships/partnerships with key stakeholders to support achievement of objectives both external and internal to the organisation.
  • Strong attention to detail.
  • Demonstrated high level customer service skills.
  • Proficiency in MS Office.
  • Ability to juggle competing priorities with excellent time management and organisational skills.
  • Ability to work equally effectively in team environments as well as on tasks which require high levels of initiative, autonomy and independent action.

Desirable:

  • Interest and experience in supporting L&D activities within an organisation.
  • Intranet editing experience (SharePoint).
  • Experience in system integration and HRIS management.
  • Reporting and data integrity experience.
